Setting up and running a one-on-one (1:1) session

Available for the following plans: Plus, Unlimited HR, Engage, Elite, Unlimited HR+Payroll
Available for the following HR plan: Platinum
Available for the following user access levels: Employee    , Manager    , Admin    

The Running a 1:1 Session feature enables you to schedule one-on-one meetings with your employees, where you can set pre-determined or spontaneous talking points. It includes note-taking and commenting functionality for recording discussions during ‌the meeting. You can also invite up to 3 collaborators—such as a secondary manager, mentor, or HR partner—to participate in the conversation, ensuring alignment across your employee's support network. Getting started

Create a one-on-one
  1. Click the  Development menu.
  2. Under Coaching, click the 1:1s submenu. 
  3. Click the Create a 1:1 button.

  4. Complete the following fields:
    • Who would you like to set up a 1:1 with?
    • Collaborators (Optional): Search and select up to 3 colleagues to join the meeting series.

      A counter below this field tracks how many participants have been added. Once the limit of 3 is reached, the field is disabled and displays "Maximum collaborators reached."

    • Meeting Title.
    • Date.
    • Time.
    • Frequency:
      • Does not repeat.
      • Weekly.
      • Fortnightly.
      • Monthly.
      • Quarterly.
      • Half-yearly.
      • Yearly.
    • Show employees OKRs in 1:1.
  5. In the Meeting Agenda section, you can either:
    • Use a pre-built template:
      1. Click the Use a Template button.
      2. Select your pre-built template.
      3. Click the Append button.
  • Add specific talking points.
    1. Click the Add New Talking Point button.
    2. Enter your question.
  1. Click the Send Email Invite button.

Important

You cannot select the same person as both the primary guest and a collaborator. The collaborator field is also available when scheduling a 1:1 on behalf of someone else.

Create a one-on-one: For two other employees

Important

Platform admins and owners can set up 1:1 sessions for any two people in the company.

  1. Click the Development menu.
  2. Under Coaching, click the 1:1s submenu. 
  3. Click the Create a 1:1 dropdown button.
  4. Click the Create 1:1 for Peers.

  5. Complete the following fields:
    • Who would you like to set up a 1:1 with?
    • Collaborators (Optional): Search and select up to 3 colleagues to join the conversation.
    • Meeting Title.
    • Date.
    • Time.
    • Frequency:
      • Does not repeat.
      • Weekly.
      • Fortnightly.

Add shared notes to a one-on-one
  1. Click the  Development menu.
  2. Under Coaching, click the 1:1s submenu.
  3. Click the 1:1 that needs a shared note.

  4. Write your notes.
  5. Click the Save button.

    Note Layout

    In sessions with collaborators, each participant has their own individually labelled notes section (e.g. "Jamie's notes"), stacked vertically. Your notes appear first and are editable; other participants' sections are read-only.

Daily activities

Access 1:1 as a collaborator

Meetings you have been added to as a collaborator appear in your 1:1 meeting list alongside meetings where you are the organiser or guest.

  • The Name column shows all participants, comma-separated.
  • Hover over a trimmed name row to see the full list of participants.
  • Click the meeting to access the session detail page and contribute notes or talking points.

Editing data

Edit your recurring one-on-one template
  1. Click the  Development menu.
  2. Under Coaching, click the 1:1s submenu.
  3. Click the Edit button for the 1:1 you need.

  4. Make the required changes.
  5. Click the Save button.

    Helpful Hint

    Collaborators are locked after a meeting is created. When editing an existing 1:1, the collaborator list is read-only and cannot be changed.

Further information

What can collaborators do in a 1:1?

Collaborators have access to the full session history, can contribute notes in their own labelled section, and add or complete talking points. However, control remains with the organiser; collaborators cannot change the meeting title, schedule, frequency, or archive/cancel the series.

Why does the meeting title look different?

For a 1:1 with one or more collaborators, the detail page heading displays the specific Meeting Title (e.g. "Weekly Catch-up") instead of "1:1 with [Name]". A subtitle beneath the heading will list all participants.

How do I view collaborators in reports?

The 1:1 report includes a dedicated Collaborators column. For meetings with additional participants, their names will appear here comma-separated. For standard two-person 1:1s, this column will remain empty.

Will collaborators receive notifications?

Yes. Collaborators receive the same 10 notification types as the guest, including initial invitations, schedule updates, session reminders, and cancellation notices.

How do I view an archived 1:1?
  1. Click the  Development menu.
  2. Under Coaching, click the 1:1s submenu. 
  3. Change the Status filter to show Archived 1:1s.

Note: Archiving a meeting removes access for all participants, including collaborators, and the meeting will no longer appear in their meeting list.
