Offboarding a contractor via the HR platform

Available for the following HR plans: Free, Standard, Premium, Platinum
Available for the following User Access level: Admin    

There will be instances where a contractor agreement has ended with your organisation and they will need to be off-boarded from your platform. When you undertake this option, you can specify the reason for this action and the date this occurred. If required, you can also delete a contractor file from your platform if you added them in error.

Warning

Deleting a contractor from your platform will remove their data, which means there is no record kept for auditing purposes. We recommend this step only if there is a duplicate contractor file and/or their details show as pending, meaning the contractor has not yet signed into the HR platform.

Getting started

Off-board a contractor

Important

Before offboarding a contractor, make sure that you have created an offboarding checklist. This generates a list of tasks that need completing before their termination date. To read further details on how to create an offboarding checklist, refer to the following article.

  1. Click the People menu.
  2. Click the Independent Contractors submenu.
  3. Click the Action button.
  4. Click the Offboard button.

  5. Complete the following fields:
    • Termination date.
    • Termination type.
      • Resignation:
        • Relocation.
        • Further education.
        • Better rewards.
        • Health.
        • Career advancement.
        • Career change.
        • Travelling.
        • Family.
        • Other
      • Abandonment.
      • Termination:
        • Serious misconduct.
        • Poor performance.
        • Redundancy.
        • Incomplete probation.
        • Work eligibility.
        • Other.
      • Retirement.
      • Other.
    • Comment.
    • Would you consider this personnel for rehire?
    • Employee access:
      • Allow access until a specific data and time.
      • Remove access immediately.
      • Allow access until the termination date.
  6. Click the Terminate button.

Remove a contractor from the HR platform

Warning

Removing a contractor from your platform will remove their data, which means there is no record kept for auditing purposes. If you want to remove your contractors but keep their data, then refer to the Offboarding section of this article.

  1. Click the People menu.
  2. Click the Independent Contractors submenu.
  3. Click the Actions button.
  4. Click the Delete button.

  • We need to offboard a few contractors who never accepted teh invitation - however ew don't want to trigger the offboarding process. We also do not want to delete the data, if we terminate will they go through offboarding and how do we bypass this function?

  • Hi Melanie. If you have set up an offboarding checklist for the contractors, you can delete the reminders so they do not receive the offboarding tasks. This article explains how to do that. Does this help in your case?
