The third stage in building a performance review in the HR platform is the creation of a review template. The review template combines the rating scale and review questions you created previously, so the next stage involves working out how these two pieces of information interact.
The Review Templates feature allows you to either create a new template from scratch or you can copy an existing record if you want to use an already created template as your building base. You can also edit a previously created template if the information contained within changes, and you can delete a template if the data is no longer required. Before being able to create a review template, the following needs creating:

You can create multiple templates for your review questionnaires for your employees to complete, depending on the employees’ role or level. Our HR Experts recommend you keep your templates short, with around five questions each. This enables you to provide targeted feedback on performance, identify strengths and weaknesses, and set goals for future performance.

We base the default access level on a per user basis and whether they have view, edit and delete access and excluding any changes made via our Custom Security feature.
Getting started
- Click the Settings menu.
- Click the Review Settings submenu.
- Click the Review Templates button.
- Click the Add New Review Template button.
- Complete the following fields:
- Name.
- Description.
- Overall rating scale.
Helpful Hint
You can use the Overall Rating Scale toggle switch to turn on or off the need to use a rating scale within your Review Template. If you use a rating scale, you can use the Rating Scale drop-down to select one you have previously created, or you can create one from scratch.
If you create your own rating scale, you can use the Click to Add a New Rating Level button to add another scale name and a description field, and the button to remove a scale name and a description field.
- Click the Save button.
- Click the Settings menu.
- Click the Review Settings submenu.
- Click the Review Templates button.
- Click the Actions button.
- Click the Edit button.
- Click the Add New Question button.
- Use the Question drop-down to select the required review question.
- Select the Scale Rating option in the Answer Type section.
- Use the Rating Scale drop-down to select the required rating scale.
- Click the Save button.
- Click the Settings menu.
- Click the Review Settings submenu.
- Click the Review Templates button.
- Click the New Review Template button.
- Toggle on Overall Scale Rating.
- Add the name of your new template, a description of your new template (optional) and your review questions.
Helpful Hint
Click Add New to add additional questions. To remove question fields, click the red cross to the right-hand side of the description text box.
- Click Save.
- Toggle on the Weighted Questions switch.
- Click Add New Question.
- Add the following:
- Questions (choose from the drop down menu)
- Description (optional)
- Answer type
- Rating scale template
- Name
- Description (optional).
- Click Save.
- Click the Settings menu.
- Click the Review Settings submenu.
- Click the Review Templates button.
- Click the Actions button.
- Click the Edit button.
- Click the Add New Question button.
- Use the Question drop-down to select the required review question.
- Select the Free Text option in the Answer Type section.
- Click the Save button.
- Click the Performance menu.
- Click the Goals submenu.
- Click on Add New.
- Add the following:
- Goal name
- Goal owner
- Due date
- Goal alignment (optional)
- Goal type
- Upload files (optional)
- Visible to
- Click Continue.

The Template Viewing feature is only available when you have used a template in a review period.

What is the difference between the end date and the lock out date on a review?
Hi Julie,
The end date is the date that will show on the review period from an employee perspective, whereas the lock-out date is the actual date that the review closes. It just gives a few days grace period for managers to finish the reviews. Also changing the lockout date can help when you need to edit reviews after the completion of the review period (without altering the actual dates of the review period).

Hi - Post our manager completion "publish" of performance review, can admin
- Control the date where employees see the managers response & rating? or is it immediate?
- Edit the the employees rating in case they need to change the rating?
- Can admin see ratings in the review report when employee or manager has not clicked publish?
