Managing uploaded documents | HR Contractor File

Overview

As an organisation, you will have documentation that you would want to assign to your contractors, such as meeting briefs, project scoping notes and work specifications. In these cases, having a central place you can store this data against the required contractors will enable both you, the contractor and their manager to read, access and review this information.

The Upload Documents feature allows you to upload documentation against a chosen contractor's personnel file. The contractor, their manager, and any admin can view, access and review this information. You can also use this feature to delete an uploaded document if you uploaded it in error.

Availability

HR Plan:   Free   Standard   Premium   Platinum
  User Access:   Contractor         Manager         Admin      

  We base the default access level on a per user basis and whether they have  view,  edit and  delete access and excluding any changes made via our Custom Security feature.

Daily activities

Upload a document
  1. Click on the   People menu.
  2. Click on the Independent Contractors submenu.
  3. Click on the Contractor Name, who needs a document uploaded.
  4. Click on the Upload Documents button.
  5. Click on the Add button.

  6. Click or drag the desired file onto the Upload tile.
  7. Click the Save button.

    Important

    The maximum uploaded file size allowed is 10Mb.

View an uploaded document
  1. Click on the   People menu.
  2. Click on the Independent Contractors submenu.
  3. Click on the Contractors Name, who needs a document viewed
  4. Click on the Upload Documents button.
  5. Click on the document you want to view.

Removing data

Delete an uploaded document
  1. Click on the   People menu.
  2. Click on the Independent Contractors submenu.
  3. Click on the Contractors Name, who needs a document deleted.
  4. Click on the Upload Documents button.
  5. Click the Actions button.
  6. Click the Delete button.

  • Compliance Reporting: HR Documents This feature allows you to run a report on the documents assigned across the whole organisation, and if any are showing a status of outstanding, you can remind that user to sign the relevant document.
