Vacant Positions, Onboarding Approvals and Requisitions are integrated under Vacancies and Requisitions, streamlining workforce planning and reducing duplicate work. Vacant Positions are automatically created and updated based on requisition actions, with new statuses—Requested, Vacant, and Filled—providing better visibility. Backfill requisitions can also be linked to existing positions for easier tracking. Once a linked onboarding approval is completed, the corresponding vacant position is automatically updated to "Filled," ensuring accuracy and reducing manual updates.

Vacant positions are automatically created and updated based on requisition actions, but you can manually create a vacant position by using the steps below.
- Log in to Employment Hero.
- Click the People option on the left-hand side menu.
- Click the Vacancies & Requisitions option.
- Click on the Vacant Positions tab.
- Click the Create Vacant Position button.
- In the Create New Vacant Position side panel, enter the following:
- Position type - new or backfill
- Populate details based on an employee
- Position/Job title
- Position code (optional)
- Position type
- Employment type
- Employing entity
- Location
- Team
- Primary manager
- Secondary manager
- Position start date
- Pay rate - salary or hourly rate
- Frequency
- Actual weekly hours
- FTE weekly hours (see this article for more information on FTE)
- Effective pay rate (100%)
- Frequency
- Ordinary work day
- Benefits (optional)
- Hiring team
- Comments
- Attachments.
- Click the Save button.
- Log in to Employment Hero.
- Click the People option on the left-hand side menu.
- Click the Vacancies & Requisitions option.
- Click on the Vacant Positions tab.
- Click the 3 dots on the vacant position for which you want to create a job.
- Click on Start Recruiting.
- Under Job Details, add the following details:
- Job title
- Industry standard job title (optional)
- Industry
- Team (optional)
- Country
- City
- Job Type
- Employee working hours
- Experience
- Available positions (optional)
- Workplace type
- Job description (minimum length 150 characters)
- Pay rate
- Frequency
- Recruiter's email address
- Hide salary - tick Yes or No.&
- Under Screening Questions, add the following details:
- Select template (optional) - for more information about templates, see this article
- Click on Add a question to write a new screening question.
- Under Hiring Details, add the following details:
- Select hiring process
- Click on Save, then click Continue.
- Under Team Members, add the following details:
- Add a Hiring Manager (optional).
- Click Save and Continue.

Under Find Candidates, add the following details:
- Select the job boards to which you want to post your job ad.
- Click on Save and Continue.
- To not post the job ad to job boards, click on Don't post to job boards.
- Log in to Employment Hero.
- Click the People option on the left-hand side menu.
- Click the Vacancies & Requisitions option.
- Click on the Vacant Positions tab.
- Under Actions, click the 3 dots beside the vacancy that you wish to edit.
- Click the Mark as filled button.
- In the Mark This Vacant Position as Filled side panel, choose the employee you need.
- Click the Save button.
Helpful Hint
Please note that marking the vacant position as filled will remove it from the organisation chart and workforce planning reports.
- Log in to Employment Hero.
- Click the People option on the left-hand side menu.
- Click the Vacancies & Requisitions option.
- Click on the Vacant Positions tab.
- Under Actions, click the three dots button.
- Click the Edit button.
- In the Edit Vacant Position side panel, update the information you need.
- Click the Save button.
- Log in to Employment Hero.
- Click the People option on the left-hand side menu.
- Click the Vacancies & Requisitions option.
- Click on the Vacant Positions tab.
- Under Actions, click the three dots button.
- Click the Delete button.
- In the confirmation popup, click the Delete button.

- Click the 3 dots beside the requisition you wish to edit.
- Click the Withdraw button.
- Log in to Employment Hero.

- Click the Decline button.
- Enter a comment and click the Save button.

Definitions
Owner | Owner of the business, and they have the same access as admin. |
Admin | Administrator access to the whole platform and no restrictions. |
Requestor's manager | The primary manager of the employee requesting the employee requisition. |
Head of employee's team | You can assign a team leader from within the Teams Settings feature. If you do not assign a leader, we will automatically approve the request. |
Head of a Specific Team | You can assign a team leader from within the Teams Settings feature. If you do not assign a leader, we will automatically approve the request. |
Specific Person | Specific person you would like to select from the employee list to approve the request. |
Further information
Currently, only vacant positions are visible from the Vacant Positions page. These act as a placeholder for your business while there is no employee available.
The option to fill a vacant position when onboarding a new employee will only appear if you have an existing vacancy within your business. Try creating a vacant position first and then onboarding your new employee.
