The third stage in setting up a performance review involves creating a review template. This template integrates the rating scale and review questions developed in earlier steps, focusing on how these elements will interact during the review process. You can start with a new template or use an existing one as a foundation, which you can then modify or update as needed. Templates can be deleted if they become outdated or irrelevant.
Getting started
- Click the Setting menu.
- Click the Review Settings submenu.
- Click the Review Templates button.
- Click the Add New Review Template button.
- Complete the following fields:
- Name.
- Description.
- Overall rating scale.
Helpful Hint
You can use the Overall Rating Scale toggle switch to turn on or off the need to use a rating scale within your Review Template. If you use a rating scale, you can use the Rating Scale drop-down to select one you have previously created, or you can create one from scratch.
If you create your own rating scale, you can use the Click to Add a New Rating Level button to add another scale name and a description field, and the button to remove a scale name and a description field.
- Click the Save button.
- Click the Setting menu.

- Click the Actions button.
- Click the Edit button.
- Click the Add New Question button.
- Use the Question drop-down to select the required review question.
- Select the Scalar Rating option in the Answer Type section.
- Use the Rating Scale drop-down to select the required rating scale.
- Click the Save button.
Weighted questions allow you to assign different levels of importance to specific questions within a review template, ensuring that more critical performance areas have a greater impact on the overall review score. Each question is assigned a percentage weight that reflects its relative importance, with all question weights required to total 100%.
For example, if "Goal Achievement" is weighted at 40% and "Team Collaboration" at 20%, the goal achievement score will have twice the influence on the final rating. This weighted average calculation provides a more accurate and meaningful overall score compared to a simple average where all questions carry equal weight. Weighted questions are particularly useful for aligning review outcomes with your organisation's priorities and ensuring that key performance indicators receive appropriate emphasis in employee evaluations.
- Click the Settings menu.
- Click the Review Settings submenu.
- Click the Review Templates button.
- Click the New Review Template button.
- Toggle on Overall Scale Rating.
- Add the name of your new template, a description of your new template (optional) and your review questions.
Helpful Hint
Click Add New to add additional questions. To remove question fields, click the red cross to the right-hand side of the description text box.
- Click Save.
- Toggle on the Weighted Questions switch.
- Click Add New Question.
- Add the following:
- Questions (choose from the drop-down menu)
- Description (optional)
- Answer type
- Rating scale template
- Name
- Description (optional).
- Click Save.
- Click the Setting menu.
- Click the Review Settings submenu.
- Click the Review Templates button.
- Click the Actions button.
- Click the Edit button.
- Click the Add New Question button.
- Use the Question drop-down to select the required review question.
- Select the Free Text option in the Answer Type section.
- Click the Save button.

The Template Viewing feature is only available when you have used a template in a review period.

The Template Editing feature is only available when you have not used a template in a review period.

The Template Criteria Deleting feature is only available when you have not used a template criteria in a review period.
Further information
- Weights must total 100%: The system requires all question weights to add up to exactly 100% for the weighted calculation to function properly.
- Whole numbers only: Weights can only be entered as whole numbers (not decimals).
- Rating questions only: Weighting applies only to rating questions, not free-text questions.
- Template validation: If you add or remove rating questions after setting weights, you'll need to reconfigure the weights to ensure they total 100% again.
- Publishing requirement: Weighted overall scores will only appear in reports after managers have completed and published their reviews.
