How do I manage my organisations reward settings? | HR Platform

Encouraging a culture of recognition and/or reward is essential in making your employees feel valued, so it is important not to let special events pass by unnoticed. Celebrating birthdays, promotions, and work anniversaries can improve your team morale and make your staff feel valued. 

The Milestone feature allows you to set up an automated recognition post for an employee's birthday and/or work anniversary. Managers will receive a notification about these upcoming events and can then use this feature to schedule a Shout Out on their organisation's company feed.

Important

The feature only displays in platform if you have reporting employees, i.e., only an employee's primary manager can schedule a message for these types of events.

HR Best Practise

Employees' date of birth and start date drive this Milestone feature, so make sure your employee data is accurate and up to date to make sure milestones appear at the correct time.

Availability

HR Plan:   Premium   Platinum
  User Access:   Employee         Manager         Admin      

  We base the default access level on a per user basis and whether they have  view,  edit and  delete access and excluding any changes made via our Custom Security feature. However, this only applies to the comment functionality. A user has to either be an admin or have access to an employee's personal details to post a message.

Getting started

Add a reaction to a post
  1. Click the   Home menu.
  2. Click the Emoji button.
  3. Click the desired emoji to add a reaction.

Add a comment to a post
  1. Click the   Home menu.
  2. Click the Add a Comment button.

  3. Enter the required comment and click the Send button.

    Helpful Hint

    Typing @ into the comment field, followed by an employee's name, will tag that employee in the comment. Comments do not have a limit on the number of employee tags, so there is no limit to how many employees it can include.

Daily activities

Send a milestone post
  1. Click the   Home menu.
  2. Click the Shout Out and Recognise your Peers button.
  3. Click the Manage Scheduled Messages button.

  4. Select the employee needs a message scheduled.

    Helpful Tip:

    If there are no employees displayed, this means that there are no employees who have a work anniversary or birthday in the next eight days.

  5. Complete the following fields:
    • Date.
    • Time.
  6. In the text box, enter the desired message.

    Helpful Hint

    Not sure what to write? If you are on our Platnium HR Plan you can type a few points in, then click   to have our AI help you generate a draft message. You will be able to refine the draft as you need before submitting. 

  7. Click the Schedule button.

    Important:

    Clicking the Schedule button will trigger the message to publish on your organisation’s company feed on the date you have chosen.

Editing data

Edit a milestone post

Warning

You can not edit a milestone message once you have posted it on the company feed.

  1. Click the   Home menu.
  2. Click the Shout Out and Recognise your Peers button.
  3. Click the Manage Scheduled Messages button.

  4. Click the employee who needs a scheduled message edited.

    Helpful Tip:

    There is a clock symbol displayed next to an employee that has had a scheduled message.

  5. Make the required changes and click the Schedule button.

Removing data

Delete a comment from a post

Important

Any user can delete their own comment, while an admin can delete anyone's comment.

  1. Click the   Home menu.
  2. Click the Comment button.
