Microsoft 365 software provisioning on the HR platform

  Available for the following plans: Plus, Unlimited HR, Elite, Unlimited HR+Payroll
  Available for the following HR plan: Platinum
  Available for the following User Access level: Admin    

  Software provisioning allows you to streamline the account creation process for   employees and administrators. You can use software provisioning with Microsoft   365 to easily manage your employees' accounts in the Employment Hero Platform.   The feature is ‌currently in a trial period. Further details regarding the full   release will be announced soon. You will need ‌Microsoft 365 Business Plan or   above to use software provisioning with the Employment Hero Platform.

Getting started

      Connect Microsoft 365 to Employment Hero    
  1. Log into the Employment Hero platform.
  2.           Click the Settings menu.        
  3.           Click the Add-ons sub-menu.        
  4.           Click the Sign in with Microsoft button.        
  5.           Log in using your Microsoft credentials.        
  6.           Click the Accept button.

      Create an account for an employee    
  1. Log into the Employment Hero platform.
  2.           Select the People menu.        
  3.           Select the Employee List sub-menu.        
  4. Select the employee that you would like to view.
  5.           In the Employee Records section, select the Account Provisioning           option.        
  6.           Click the Three Dots button.        
  7.           Click the Create Account button.

  8.           Complete the following fields:                     

    • Assign username.

               

    • Send immediatly.

               

    • Date.

               

    • Time.

               

    • Update employees company email to email above.

                    

  9.           Click the Create button. You will receive confirmation           that the account has been created, and that an email has been           sent to the employee.

Syncing Manager Relationships

          When you create a new Microsoft 365 account for an employee,           their reporting line (manager relationship) will automatically           sync to Microsoft 365. For the sync to be successful,           the assigned manager must already have a Microsoft 365 account. If the manager does not yet have an account, the reporting           line will sync automatically once their account is provisioned           or linked.        

Daily activities

      Link to an existing account    
  1. Log into the Employment Hero platform.
  2.           Select the  People           menu.        
  3.           Select the Employee List sub-menu.        
  4.           In the Employee Records section, select the Account Provisioning           option.        
  5.           Click the Three Dots button.        
  6.           Click the Link Existing Account button.

        When linking an existing Microsoft 365 account to an Employment Hero         profile, the manager relationship set in Employment Hero will be         applied to the Microsoft 365 account. Employment Hero         serves as the source of truth; any existing manager data in Microsoft         365 that differs from Employment Hero will be updated to match.      

      Sync reporting lines    

        While the Microsoft 365 integration is active, any manager updates         made within Employment Hero—including those made via CSV import or         bulk updates—will automatically sync to the Microsoft 365 org structure.      

        Changes made while the integration is disconnected are not automatically         synced upon reconnection. To manually trigger a reconciliation         of all reporting lines from Employment Hero to Microsoft 365, use         the 'Sync reporting lines' option found under the integration actions.      

      Unlink an account    
  1. Log into the Employment Hero platform.
  2.           Select the  People           menu.        
  3.           Select the Employee List sub-menu.        
  4.           In the Employee Records section, select the Account Provisioning           option.        
  5.           Click the Three Dots button.        
  6.           Click the Unlink Existing Account button

      Resend a Notification    
  1. Log into the Employment Hero platform.
  2.           Select the  People           menu.        
  3.           Select the Employee List sub-menu.        
  4.           In the Employee Records section, select the Account Provisioning           option.        
  5.           Click the Three Dots button.        
  6.           Click the Resend button

Remove data

      Suspend access for employees    
  1. Log into the Employment Hero platform.
  2.           Select the  People           menu.        
  3.           Select the Employee List sub-menu.        
  4.           In the Employee Records section, select the Account Provisioning           option.        
  5.           Click the Three Dots button.        
  6.           Click the Deactivate Account button

  7.           The employee's status in your Microsoft 365 Admin Centre will           also state that their sign-in is blocked.

      Disconnect your Microsoft 365 account    

Helpful Hint

          The account of any employee added through the software provisioning           tab will not be deactivated when you disconnect your Microsoft           365 account. You will need to remove that account manually.        

  1. Log into the Employment Hero Platform.
  2.           Select the  Settings           menu.        
  3.           Select the Add-ons sub-menu.        
  4.           Click the Actions button.        
  5.           Click the Disconnect button.

Further Information

      What are the three statuses that can apply to an account?    

There are three statuses that can apply to an account:

  •           No access: Employee has no known access to the           connected application.        
  •           Active: Employee currently has an active account           with the connected application.        
  •           Deactivated: Employee has an account with the           connected application, but it is currently deactivated/inactive/suspended.        
      Can manager data from Employment Hero (EH) be synced to Microsoft 365?    

        Yes, manager relationships automatically sync to Microsoft 365 when         accounts are created, linked, or updated within Employment Hero.      

        Please note that Microsoft 365 currently only supports         one manager per person. Because of         this, only the Primary Manager set in Employment         Hero will sync. Secondary managers and indirect reporting         lines (such as a manager's manager) are not included in the sync.      

      What data can be captured when a Microsoft 365 account is connected to an employee in Employment Hero?    

        When a Microsoft 365 account is connected to an employee in Employment         Hero (EH), the following data is captured:

Display Name. Full Name.
First Name. First Name.
Last Name. Last Name.
Job Title. Current Job Title.
Department. Group.
Sign-in method - Email. Personal email.
Manager. Primary Manager.
