The Organisation Emails feature allows admins to view and manage the email notifications Employment Hero sends on behalf of your organisation. Notifications are grouped by category (such as Pay, Engagement, Development, and Security), and each email displays a brief description of when it is sent and who receives it. You can enable or disable individual emails using a toggle, or turn all notifications in a category on or off at once. Changes take effect immediately — no Save button is required.
Warning
The settings enabled by a user within the Notifications Settings feature overrides the settings enabled by an admin within the Organisation Emails feature.
Getting started
- Click the Settings menu.
- In the Notifications section, click Organisation Emails.
- Browse or search for the notification category and email type you want to enable.

Turn the toggle switch next to the email to the On position.

Changes are saved automatically. There is no Save button required.

- Turn the toggle switch next to the email to the Off position. The change is applied immediately.
- Click the Settings menu.
- In the Notifications section, click Organisation Emails.
- Locate the category heading (for example, Development or Engagement).
- Click the expand arrow next to the category name to reveal its notifications, then toggle the category-level switch to the desired position.

If you are disabling all notifications in the category, a confirmation modal will appear. Click Disable all to confirm, or Cancel to go back.
Helpful Hint
The counter next to each category name (for example, 9/9) shows how many notifications are currently enabled out of the total available.
- Click the Settings menu.
- In the Notifications section, click Organisation Emails.
- Locate the email notification you want to preview.
- Click the eye icon to the right of the email name to open a preview of the email content as it appears to recipients.
Daily digest emails are summary notifications that accumulate non-urgent activity and are delivered together in a single email. By default, digests are sent at 8:00 AM. You can change the delivery time, choose how timezones are applied, and control which days digests are sent.
- Click the Settings menu.
- In the Notifications section, click Organisation Emails.
- Click the Delivery tab.

Under Daily digest schedule, use the Send daily digest at dropdown to select your preferred delivery time. Times are available in one-hour increments from 12:00 AM to 11:00 PM.
Helpful Hint
Digest emails begin sending at the selected time and all deliveries are completed within approximately one hour.
- Use the based on dropdown to choose how the delivery time is applied:
- Employee's local timezone — the digest is sent at the selected time in each employee's own timezone. Employees without a timezone set will fall back to the organisation timezone. Choose this option if your team is spread across multiple locations.
- Organisation timezone — the digest is sent at the selected time in your organisation's primary timezone, regardless of where individual employees are located. Choose this option if your entire team works in the same timezone.
- Under Deliver on, select how frequently digests are sent:
- Every day — digests are sent seven days a week, including weekends.

Work schedule aware — digests are only sent to each employee on their scheduled working days, based on the work hours or custom work hours set in their employment profile. If a digest would fall on a day off, it is held and delivered on the employee's next working day instead. Nothing is lost — the notification content is unchanged when it arrives.
Important
Work schedule aware delivery does not currently apply to casual shift workers on rosters or timesheets. Employees in those arrangements will continue to receive digests every day regardless of this setting.
- Click Save.
How working days are determined
When Work schedule aware is enabled, the system checks each employee's employment profile to determine whether a given day is a working day:
- Employees with standard work hours (no custom configuration) are treated as working Monday to Friday, with Saturday and Sunday as days off.
- Employees with custom work hours configured — any day with zero hours recorded is treated as a day off.
- Employees with no work schedule set are unaffected — their digests continue to arrive on the original delivery date with no change.
Helpful Hint
Individual employees can override this setting for themselves. If an employee prefers to receive digest emails on their days off, they can update this preference in their personal My Notifications settings. If you turn Work schedule aware off at the organisation level, all employees revert to standard delivery regardless of any personal preferences they have set.
360 Reviews email notifications
HR admins can view and manage all 360 Review email notifications directly from the Organisation Emails page, under the Development category. The following nine emails are available to toggle on or off. Changes apply immediately and take effect even for in-progress review cycles.

Customising email templates
The Customising Email Templates feature allows you to clone an existing template, customise its content, and insert the required pre-filled variables. Additionally, you can preview the email's appearance to end users and activate a cloned email to replace the default platform email.
Important
You can customise onboarding, leave, payslips, off-boarding, offer letters, 360 Reviews (7 out of 9 emails), Company Feed, Performance Reviews, and Timesheets email templates. The email editor interface empowers users to fully customise text, structure, and formatting within these templates while safely maintaining complex backend logic.
Please note that email subject line editing is disabled to ensure better troubleshooting on support and to support email usage tracking. Existing customised email subjects remain unchanged. All existing if-else conditional blocks and for-each loops are preserved and remain fully functional when a template is customised.
- Click the Settings menu option.
- In the Notifications section, click Organisation Emails.
- On the email notification topic of your choice, click on the downward-facing arrow.
- If not already actioned, you will need to toggle on the email notifications you wish to enable. Select Toggle all to enable all email notifications, or select your individual email notification.
- If you enable all notifications, click on Enable all on the popup to confirm.
- Your email notifications have now been enabled.
- Click the Settings menu option.
- In the Notifications section, click Organisation Emails.
- On the email notification topic of your choice, click on the downward-facing arrow.
- If not already actioned, you will need to toggle on the email notifications you wish to enable. Select Toggle all to enable all email notifications, or select your individual email notification.
- If you enable all notifications, click on Enable all on the popup to confirm.
- On your desired email notification, click on the pen icon to edit.
- Click on the 3 dots on Custom Template.
- Click on Edit.

- Click the Save Changes button at the bottom of the template editor popup.
- If you want to test the email, click on Send Test.
- If you want to view the custom email, click on View.
Helpful Hint
CTRL (PC) or Cmd (Apple) + Z will act as an undo function on the customisable email template.
Delivery log
The Delivery log gives you a record of all emails sent from your organisation over the last 90 days. Use it to check whether a specific email was delivered, identify failed deliveries, and retry sending where needed. Records older than 90 days are automatically removed.
- Click the Settings menu.
- In the Notifications section, click Organisation Emails.
- Click the Delivery log tab.
- Use the search fields, date range picker, and filters to locate the email you are looking for. You can search by recipient name or email address, or by email subject.
- Click the arrow on the left of any row to expand it and view additional detail, including the recipient's full name, the number of retry attempts, and the reason for any failed delivery.
Each email in the log displays one of the following statuses. Statuses reflect the raw delivery information reported by our email provider.

| Deferred | The receiving mail server temporarily delayed acceptance of the email — for example, because the mailbox was full or the server was rate-limiting incoming messages. Delivery will be retried automatically. | Wait and check the log again later. If the email remains deferred for an extended period, contact support. |
For non-delivered immediate emails (such as contracts or welcome emails), you can manually trigger a retry directly from the log.
- Click the Settings menu.
- In the Notifications section, click Organisation Emails.
- Click the Delivery log tab.
- Locate the failed email in the log.
- Click the Retry button on the right of the row. The retry will be sent to the employee's current email address — if their address has been updated since the original attempt, the retry will use the updated address.
Helpful Hint
Retry is only available for immediate emails. Daily digest emails cannot be retried from the Delivery log.

The Notification Settings section allows you to turn on or off personal notifications. Please note, the selection made by a user within the Configure the emails you receive and their frequency feature overrides the selections made by an admin within the Organisation Emails feature.
Yes. Navigate to Settings > Notifications > Organisation Emails and locate the End of Probation notification. Turn the toggle to the On position — changes are saved automatically and your organisation will begin receiving end-of-probation reminder emails.
