When building a roster, leaving the scheduling screen just to check an employee's contact details, certifications, or availability breaks your workflow and makes it easy to lose your place. The employee details panel lets you click an employee's name directly on the roster to open a summary of their key information in a side panel — so you can review what you need and keep scheduling without switching screens.

Open the employee details panel
You can open the employee details panel from two places on the roster: the work site view (by clicking a name on a shift card) or the employee view (by clicking a name in the left-hand column). The panel slides open on the right and the roster stays visible behind it.
- Log in to Employment Hero and go to Scheduling > Roster.
- Select the Work Site view.
- Locate a shift card that has an employee assigned to it.
- Click the employee's name on the shift card — the employee details panel slides open on the right. The roster remains visible behind the panel.
Helpful Hint
Clicking the employee's name only opens the details panel — it does not open the shift editor. Open shifts with no assigned employee do not display a clickable name.
- Log in to Employment Hero and go to Scheduling > Roster.
- Select the Employee view.
- Hover over an employee's name in the left-hand column — the name becomes underlined to indicate it is clickable.
- Click the employee's name — the employee details panel slides open on the right. The roster remains visible behind the panel.
Helpful Hint
If the panel is already open for one employee, clicking a different employee's name in the left-hand column automatically updates the panel to show that employee's details.
View an employee's work summary
The Work Summary tab is the default view when the panel opens. It shows the employee's hours and cost for the current roster period so you can quickly assess their workload and spend without leaving the roster.
- Open the employee details panel using either method described above.
- The panel opens on the Work Summary tab by default. If you have navigated away, click the Work Summary tab to return to it.
- In the current period section, review:
- Actual hours worked vs scheduled hours, shown with a visual progress indicator.
- Total cost for the period compared to the previous period (only visible if you have roster costing access).
- In the shifts section below, each shift in the current period is listed as a row showing:
- Date, start time, and end time.
- Publish status (for example, Published or Unpublished).
- Cost per shift (only visible if you have roster costing access).
View and add an employee's unavailability
The Unavailability tab shows an employee's upcoming unavailability periods and lets you add new unavailability without leaving the roster. Any unavailability you add is immediately reflected in the roster.
- Open the employee details panel using either method described above.
- Click the Unavailability tab.
- Review the employee's upcoming unavailability periods. If no unavailability is recorded, the panel displays a message to indicate this.
- To add a new unavailability period, click Add Unavailability.
- In the form that appears, enter the unavailability dates and reason.
- Save the entry — the new unavailability appears in the list and is immediately reflected in the roster.
View an employee's details
The Details tab shows a summary of the employee's contact information, employment details, rate of pay, roster notification preferences, and certifications — all without leaving the roster. The information displayed adapts to your access level.
- Open the employee details panel using either method described above.
- Click the Details tab.
- Review the information displayed. Depending on your access level, you will see:
- Contact: Phone number and email address (only visible if you have permission to view employee personal information).
- Personal: Age.
- Employment: Employee type, classification, standard hours worked, work site, position, and start date.
- Rate of pay: Only visible if you have roster costing access. The value is masked by default — click the reveal icon to show the actual figure, and click it again to re-mask it.
- Roster notifications: The employee's email and SMS notification preferences (on or off).
- Certifications: Listed with expiry dates. Certifications that have expired are visually highlighted.
Navigate to an employee's full profile
If you need more information than the panel provides, you can go directly to the employee's full profile from within the panel.
- Open the employee details panel using either method described above.
- Click Go to Employee File.
- You are taken to that employee's full profile page.
Further information
The panel adapts to your permission level:
- No roster costing access: The rate of pay field on the Details tab is not displayed at all, and cost figures (period total cost and per-shift cost) on the Work Summary tab are hidden. Hours, dates, times, and shift status remain visible.
- No personal information access: Phone number and email address on the Details tab are not displayed.
Click the close button on the panel, or click anywhere outside the panel. The panel closes and the roster is unchanged.
The tabs are always ordered left to right: Work Summary, Unavailability, Details. The panel always opens on the Work Summary tab by default, regardless of which employee you click or which roster view you are in.
On the Details tab, certifications are shown with their expiry dates and one of the following statuses:
- Valid: The certification is current.
- Expiring soon: The certification is approaching its expiry date.
- Expired: The certification has passed its expiry date and is visually highlighted to draw your attention.
