A recruitment module helps companies organise candidates for hiring and recruitment purposes. These systems allow businesses to collect information, organise prospects based on experience and skill set, and filter applicants. There are many benefits of using such a module, and you can expect to see metrics like time, cost, and candidate quality improve.
The Recruitment Management feature allows you to manage your candidate references in platform. Firstly, you select the candidate, and how many references you need from them, then the platform will send them a link to complete these details. Lastly, you then have the choice to email and/or call these references from within Employment Hero and mark how you found their input.
Before you begin
- You must have a Recruiter or Hiring Manager role to manage reference checks.
- Your account subscription tier gives you access to reference checks.
Manage reference checks
Helpful Hint
Candidates must create an Employment Hero Jobs profile in order for them to provide referee details. This is especially useful to note, as candidates can be added manually, without having an Employment Hero Jobs profile.
- Click the Recruitment menu.
- Click the Jobs tab.
- Click the role you wish to verify references for.
- Click the Reference Check tab.
- Click the Lets Go button.
- Complete the Number of Referees Required field.

Click the Send Request button.
Helpful Hint
Clicking the Send Request button will send an email out to the candidate to complete their reference details. You can send your potential candidate the following article if they are having trouble completing this information for you.
Once you have requested a reference and have received the referee list back from the employee, you can contact the referee. You have 2 options:
- The email option:
- Click the Email button under Communication mode.
- The Edit Referee Questionnaire modal will appear.
- You can select a pre-made reference check template in the Select template (Optional) field.

Alternatively, you can create your own questionnaire under the Questions section
Helpful Hint
You can select what kind of answer should be given to each question using the Question type dropdown menu. Short-answer questions allow up to 150 characters, whilst long-answer questions allow up to 1000 characters.
- When you have finished creating the questions, click Save.
- Once complete, click the ellipsis button, under Actions.
- Click the Send Email button.
- The call option:
- Connect your account to Calendly.
- Then follow the on-screen instructions.

Once the referee completes the request, you can click the Mark as Done button.
Helpful Hint
Click the View button to see the answers provided and the Notes button to add any comments.
- Next up, choose one of the following options on how your rate the reference:
- Positive.
- Negative.
- Neutral.
- Click the Submit button.
- Click the Done button.
Manage reference check templates
- Click the Settings menu.
- Under Recruitment & Onboarding, click Recruitment.
- Click the Reference Check Templates tab.
- If you cannot see the Reference Check Templates tab, click the downward arrow beside the last tab you can see to reveal more options.
- Click the Add a template button.
- Fill in the Template name field.
- Fill in the Question field.
- Click the Select question type dropdown button and choose one of the following:
- Short Answer.
- Long Answer.
- Date.
- Number.
- Yes/No.
- Dropdown.
- Multiple Choice.
- Click the Add a question button to add more questions for the reference check.
- To delete questions, click the trash bin icon along the question number line.
- Click the Save button.
Sending a referee request emails the candidate a link to submit their referee's contact details directly.
Log in to Employment Hero.
Click on Recruitment from the left-hand side navigation.
Click on Jobs.
Click the role you want to verify references for.
Select the candidate from the pipeline and click the Reference check tab on their profile.
Click Let's go! to start the reference check process.
In the Number of referees required field, select how many references you need from this candidate.
Click Send Request.
Once the candidate has submitted their referee details, you can add additional referees directly yourself — for example, if you need more references than the candidate provided, or if you already have a referee's contact details to hand.
Log in to Employment Hero.
Click on Recruitment from the left-hand side navigation.
Click on Jobs.
Click the role you want to verify references for.
Select the candidate from the pipeline and click the Reference check tab on their profile.
Once the candidate has submitted their referee details, click Continue to advance to the Contact Referees step.
In the Contact Referees table, click the Add referees dropdown.
Select Add manually.

Complete the referee's details:
Name
Email
Phone number
Company
Job title
Click Save.
A "Referee created successfully" confirmation appears and the referee is added to the Contact Referees table immediately. You can now proceed to contact them directly from the table.
Helpful Hint
Adding a referee manually does not automatically send them a reference check questionnaire. To send the questionnaire, select the referee in the table and use the contact options available.
The Contact Referees table includes a Source column that shows how each referee's details were provided.
