Employment Hero's Company Settings feature lets organizations keep essential details up to date and customize configurations to align with their operations. From your company details and employing entities to departments, locations, banking, primary contacts and branding, Company Settings helps you manage core information effectively and keep a consistent, organized structure across your Employment Hero platform.

Company Details
As your business evolves, you'll regularly update key details, from changing phone numbers to refreshing your company name or address. Company Details lets you manage your company's legal name, phone number, address, industry and size in one place. Accurate details help Employment Hero provide better insights, support compliance with local regulations and tailor engagement strategies to your industry and company size.
- Click the Settings menu.
- In the Company section, click Company Details.
- Update any of the following fields:
- Company name.
- Company phone number (optional).
- Address line 1.
- Address line 2 (optional).
- City/Town.
- Province.
- Postal code.
- Website.
- Date founded.
- Industry category. This helps provide industry-specific insights and benchmarks.
- Company size. This helps tailor engagement strategies for your company.
- Click the Save Company Details button. To discard your changes, click Cancel.
Helpful Hint
The company name you enter here will not appear on reports, documents or contracts, as these use the nominated employing entity. The Country field is shown for reference and can't be edited.
Employing Entities
- Click the Settings menu.
- In the Company section, click Employing Entities.
- Click the Add button.

Complete the following fields:
- Name.
- Country.
- Business Number.
Helpful Hint
The business number, also known as the Company Registration Number, is an eight-number long code. However, if your number does not have eight numbers, please add leading zeros to make sure it saves successfully.
- Set as default employing entity.
- Click the Save button.
- The employing entity will automatically be enabled, meaning you can add employees to this entity.
- Click the Settings menu.
- In the Company section, click Employing Entities.
- Click the Actions button.
- Click the Edit Entity button.
- Make the required changes and click the Save button.
Important
The disabling of an employing entity is only available when an entity has assigned employees. Disabling will stop the employing entity appearing throughout the platform, but it can be re-enabled if required.
- Click the Settings menu.
- In the Company section, click Employing Entities.
- Click the Actions button.
- Click the Disable button.
Important
You can only re-enable an entity after it has been disabled. All new employing entities are enabled by default.
- Click the Settings menu.
- In the Company section, click Employing Entities.
- Click the Actions button.
- Click the Enable button.
Important
The deletion of an Employing Entity is only available when an entity has no assigned employees. Deleting will permanently get rid of this employing entity.
- Click the Settings menu.
- In the Company section, click Employing Entities.
- Click the Actions button.
- Click the Delete button.
Departments
Departments let you organise your workforce by functional area, such as Marketing or Finance. The Departments page lists each department's name, status and member count.
- Click the Settings menu.
- In the Company section, click Departments.
- Click the Add department button.
- Enter the department Name. This field is required.
- Click the Save button. A "Department created successfully" message will appear and the new department will be listed with an Active status.
- Click the Settings menu.
- In the Company section, click Departments.
- Find the department and click the Actions (…) button at the end of its row.
- Choose one of the following:
- Edit: update the department name, then click Save.
- Disable: stop using the department.
Locations
Add the locations your company operates from. Adding a supported location to an employee's profile updates it with country-specific features and the correct public holiday calendar for time off requests.
- Click the Settings menu.
- In the Company section, click Locations.
- Click the Add Location button.
- Complete the following fields:
- Name.
- Description (optional).
- Street Address. Select your address from the suggestions, or tick Enter address manually to type it in yourself.
- Unit/Suite (optional). If your address has a unit or suite number, enter it here manually.
- City.
- Province/Territory.
- Postal Code.
- Optionally, switch on Set this location as the default location for new employees.
- Click the Submit button.
Helpful Hint
If you switch on the default location toggle, Employment Hero will assign new employees in your organisation to this location by default.
The Locations page lists each location's name, street address, city, province/territory, postal code, country and description.
- Click the Settings menu.
- In the Company section, click Locations.
- Find the location and click the Actions (…) button at the end of its row.
- Choose one of the following:
- Edit: make your changes in the Edit Location window, then click Submit.
- Delete: remove the location.
- Disable: stop using the location without removing it.
Bank Information
Add your company's bank account to enable payroll withdrawals.
- Click the Settings menu.
- In the Company section, click Bank Information.
- Enter the following details:
- Bank Institution Number.
- Bank Branch Number.
- Bank Account Number. Click the eye icon to show or hide the number as you type.
- Click the Save button.
Important
If you see a Bank Verification Required message, contact our Customer Support team to enable Flinks verification before you can set up your bank account information.
Once your bank account has been added, the Bank Institution Number, Bank Branch Number and Bank Account Number are displayed on the page along with a Manual input tick.
- Click the Settings menu.
- In the Company section, click Bank Information.
- Click the Update bank account information button and follow the prompts.
PAD Agreement
To complete your payroll setup and enable fund transfers from your bank account, your organisation (the "Payor") must acknowledge the Pre-Authorized Debit (PAD) Agreement. You must have, or obtain, the necessary authority from the Payor's account signatories to accept the authorization on its behalf.
- Click the Settings menu.
- In the Company section, click PAD Agreement.
- Read the Pre-Authorized Debit Terms and Conditions by clicking the link on the page.
- Under Acknowledgement, tick the box to confirm that you are authorised to set up Pre-Authorized Debits on behalf of the Payor and that the Payor is bound by the terms and conditions.
- Click the Complete Setup button.
Primary Contacts
Primary Contacts lets you nominate company-wide contacts for Payroll, HR and other areas. The Account Owners section lists your account owners, with the primary contact marked by a tag.
- Click the Settings menu.
- In the Company section, click Primary Contacts.
- In the Account Owners section, you can:
- Search for an account owner by name using the Search by name field.
- Click the Add Owner button to add a new account owner.
Nominate the people we should contact about running payroll, Records of Employment (ROE) and tax forms such as T4s. For each contact, complete the same set of fields.
- Click the Settings menu.
- In the Company section, click Primary Contacts.
- Scroll to the contact you want to add or update:
- Primary Payroll Contact: receives important payroll communications, reminders to run payroll and updates. We'll contact them about anything related to running payroll.
- Record of Employment (ROE) Contact: we'll contact them about anything related to Records of Employment.
- Tax Form Contact: we'll contact them about anything related to tax forms, such as T4s.
- Complete the following fields for the contact:
- First Name.
- Last Name.
- Email Address.
- Area Code.
- Phone Number.
- Extension (optional).
- Click the Save button at the bottom of the page.
At the bottom of the Primary Contacts page you can also set up the following optional contacts:
- Payroll admin emails: enter the email addresses of the payroll admins to notify when a new employee file is created, so the employee is added to the next pay run. Separate multiple addresses with a comma.
- HR manager emails: nominate an HR representative for your organisation. HR-related enquiries will be sent to this address.
- Health & safety contacts: select the people to notify about safety incidents in your organisation. For anonymous incidents, notifications are only sent to admins and employees with the Anonymous Incidents permission.
When you're finished, click the Save button. To discard your changes, click Cancel.
Branding
Upload a company logo and brand colours to personalise the platform, emails and login page. Your company logo appears on reports, documents and contracts where applicable.
- Click the Settings menu.
- In the Company section, click Branding.
- In the Essentials section, click the settings icon next to Company logo.
- Click the Upload button and select your logo. A preview will appear in the window.
- Click the Save button.
Important
Use a PNG or JPG file with a maximum size of 2MB and a minimum size of 200px x 80px. The recommended image size is 267px x 267px.
Advanced customisation lets you apply your brand colour and logos to your system emails, login screen and sidebar. To use the options below, make sure the Advanced customisation toggle is switched on.
Update your platform's colour scheme to match your brand. This colour scheme also applies to your system's email notification header and footer.
- Click the Settings menu, then click Branding in the Company section.
- In the Advanced customisation section, click the settings icon next to Colour scheme.
- Under Choose a colour, pick your brand colour. The Preview updates to show how it will look.
- Check the Contrast checker. It tests your colour for both Text on background and Text without background and tells you whether each result is good.
- Click the Save button.
Helpful Hint
Choose a colour that ensures clear visibility and accessibility. Avoid colours that are too close to white or overly light, as they may reduce readability. To go back to the original colour, click Revert to Employment Hero Default.
Add a logo to the top of all system-generated email notifications. The header and footer colours automatically match your colour scheme.
- Click the Settings menu, then click Branding in the Company section.
- In the Advanced customisation section, click the settings icon next to Email header.
- Click the Upload button and select your logo. A preview of your email header will appear.
- Click the Save button.
Important
Use a PNG file with a maximum size of 1MB and a minimum size of 600px x 200px.
Customise your login screen with a branded logo and, optionally, a background image.
- Click the Settings menu, then click Branding in the Company section.
- In the Advanced customisation section, click the settings icon next to Desktop login.
- Under Upload your login screen logo, click Upload and select your logo.
- Optionally, under Add a login background image, click Upload and select a background image.
- Check the preview of your login screen, then click the Save button.
Important
For the login screen logo, use a non-white, horizontal PNG or JPG at 400 x 60 pixels with a transparent background. The background image is optional, will only be visible on desktop, and should be a non-white, horizontal PNG or JPG at 1920 x 1080 pixels. The mobile loading screen background will remain white.
Customise your sidebar with a brand logo that appears above the main navigation menu.
- Click the Settings menu, then click Branding in the Company section.
- In the Advanced customisation section, click the settings icon next to Sidebar navigation.
- Click the Upload button and select your logo. A preview of your sidebar will appear.
- Click the Save button.
Important
For the best result, upload a logo with a transparent or white background at 100 x 100 pixels.
Employment Details
Switching on two-level leave approval will require both the primary and secondary managers to approve a leave request.
- Click the Settings menu.
- Click the Employment Details button.
- Under Two level leave approval field, click:
- Yes; to require both an employee's primary and secondary managers to approve leave.
- No; to only require an employee's primary manager to approve leave.
- Click the Save button.
The negative leave balance allows employees to get into a negative leave balance if they take more leave than they have accrued.
