The Custom Report Builder lets you combine data from multiple data sources — such as Personal Details, Emergency Contacts, and Bank Details — into a single report, without any manual joining or exporting to spreadsheets. Data sources are organised within domains such as People, Pay, Leave, Compliance, and Performance. A data source becomes active the moment you select your first field from it, and it is automatically deactivated when its last selected field is removed. All active data sources combine automatically through the employee record, and each column header displays the data source name above the field name so you can instantly see where every piece of data comes from.

Select fields from another data source
You can use multiple data sources in a single report. A data source becomes active automatically as soon as you select its first field, and its columns appear immediately to the right of your existing data in the live preview. No join configuration is required — all data sources combine automatically through the employee record.
- Log in to Employment Hero.
- On the left-hand side menu, click on Reports.
- Click on the purple Create New button.
- Here you will see the Custom Report Builder canvas.
- Give your custom report a name.
- Give your custom report a description.
- Click on Private to select your visibility settings. Select between Private (visible only to you), Organisation (visible to the entire organisation) or Shared (visible to specific people only).
- In the left panel, make sure you are in the source browser — the view that lists all available domains and their data sources.
- Next to Private, click Select Category to select which category you will add your custom report into.
- Browse to the sources that contains the data source/fields you want. For example, to add bank details, click the Pay source.
- Click the data source row you want to select fields from — for example, Bank Details.
- In the field picker that opens, tick one or more fields you want to include. The moment you tick the first field from that data source, it becomes active and its column appears immediately at the right of the data table.
- Continue ticking any additional fields from this data source. Each ticked field adds a new column to the right of the existing columns, in the order you selected them.
- To return to the source browser, click the back arrow at the top of the left panel. The source counter at the top of the source browser now reflects the updated number of active data sources — for example, 2 sources. Each data source row that has at least one field selected shows a muted indicator — for example, 3 fields ✓.
- The live data table refreshes within 2 seconds, showing each employee's data from all active data sources side by side.
- Once you are happy with your report, click on Save in the top-right hand side of the screen.
Helpful Hint
All data sources are equal — neither is treated as primary or secondary. Columns appear in the order you ticked the fields, regardless of which data source they come from.
Understand column headers
Each column header in the data table displays the data source name above the field name, making it easy to identify where every piece of data comes from at a glance. These source labels are always visible, regardless of how many data sources are active in your report.
- Look at the column headers in the data table. Each header shows a muted data source label above the field name — for example, Personal Details above First name, or Emergency Contacts above Name.
- These source labels are always shown on every column header, whether your report draws from one data source or several.
- The source counter at the top of the source browser counts active data sources — for example, 2 sources. A data source is counted as active as soon as it has at least one field selected.
Remove fields from a data source
You can remove removable fields from a data source. When the last selected field from a data source is removed, that data source is automatically deactivated and its columns disappear from the report — there is no separate "remove source" action required. Note that First name and Last name in the Personal Details data source are always selected and cannot be removed — the removal option is not available for these fields.
- Choose one of the following methods to remove a removable field:
- Field picker: In the source browser, navigate to the relevant domain and click the data source row, then untick the fields you want to remove in the field picker.
- Column header: Click the × on the column header in the data table for each field you want to remove.
- When the last field of a data source is removed, that data source is automatically deactivated — its columns disappear from the data table and the source counter decrements, for example from 2 sources to 1 source.
- Source labels remain visible on all remaining column headers regardless of how many data sources are still active.
Save and reopen a multi-source report
Once you are happy with your report, you can save it with all active data sources and columns intact. The report can be reopened or shared at any time and will restore exactly as you left it.
- Ensure your report has a name, a category, and at least one field actively selected by you on the canvas — note that the pre-selected First name and Last name fields alone do not satisfy the minimum field requirement.
- Click Save. The report saves with all active data sources and columns intact, and the Unsaved report label clears to confirm the save was successful.
- When you reopen the saved report, all data sources, columns, and source labels on column headers restore exactly as they were when you saved.

A data source is counted as active as soon as it has at least one field selected. A report supports up to 50 selected data points across all data sources.
When you return to the source browser after selecting fields, each data source row with at least one field selected shows a muted indicator — for example, 3 fields ✓ — so you can quickly see how many fields you have chosen from that data source. Data source rows with no fields selected show no indicator.
Domains are the broad areas you can browse — such as People, Pay, Leave, Compliance, and Performance. Within each domain are data sources, which are the specific sets of data you can select fields from — for example, Personal Details, Emergency Contacts, and Employment Details within the People domain, or Bank Details within the Pay domain. The source counter tracks how many data sources are currently active in your report, while the source label on each column header tells you which data source that individual column belongs to.
First name and Last name in the Personal Details data source are always selected and cannot be removed. The × removal option is not available for these fields. All other removable fields can be removed using the field picker or the × on the column header.
