Create, manage, and fill vacant positions

Start tracking the approved positions within your organisation that are currently vacant. With accurate tracking, you can access workforce planning tools to help you track your vacant positions over time and gain insights into filled versus vacant positions. Aside from the Vacant Positions page, admins can also create a vacant position after offboarding a previous employee.

Getting started

Create a vacant position
  1. Click the People menu.
  2. Click the Vacant Positions submenu.
  3. Click the Create Vacant Position button.

  4. In the Create New Vacant Position side panel, enter the following:
    • Populate from an existing employee or position.
    • Position/Job Title.
    • Position Code (Optional).
    • Position type.
    • Employment type.
    • Employing entity.
    • Location (Optional).
    • Teams (Optional).
    • Primary Manager.
    • Secondary Manager (Optional).
    • Position start date.

  5. Under Budget Details, enter the following:
    • Salary or Hourly Pay.
    • Pay rate (100%) minimum to maximum.
    • Actual weekly hours (Optional). 
    • FTE weekly hours (Optional).
    • Effective pay rate (100%) minimum to maximum.
    • Ordinary work day.
  6. Click the Save button.

Fill a vacant position
  1. Click the People menu.
  2. Click the Vacant Positions submenu.
  3. Under Actions, click the three dots button.
  4. Click the Mark as filled button.

  5. In the Mark This Vacant Position as Filled side panel, choose the employee you need.
  6. Click the Save button.

    Helpful Hint

    Please note that marking the vacant position as filled will remove it from the org chart and workforce planning reports.

Edit a vacant position
  1. Click the People menu.
  2. Click the Vacant Positions submenu.
  3. Under Actions, click the three dots button.
  4. Click the Edit button.

  5. In the Edit Vacant Position side panel, update the information you need.
  6. Click the Save button.

Delete a vacant position
  1. Click the People menu.
  2. Click the Vacant Positions submenu.
  3. Under Actions, click the three dots button.
  4. Click the Delete button.

Further information

How can I see which position an employee has filled?

Currently, only vacant positions are visible from the Vacant Positions page. These act as a placeholder for your business while there is no employee available.

Why do I not see the option to fill a vacant position when onboarding?

The option to fill a vacant position when onboarding a new employee will only appear if you have an existing vacancy within your business. Try creating a vacant position first and then onboarding your new employee.
