The multiple PAYE feature allows you to add more than one PAYE scheme to an organisation in the payroll platform.
Please note that if you have any CIS set up on your business, they will need to be removed and added to a separate business for payments to be processed. Users will not be able to process P11Ds (payrolling will work as normal) while using this feature. The P11Db report for payrolling will be updated imminently with a PAYE scheme filter. This feature will also not be supported in Bureau Dashboard.
This function can be set up for any new or current businesses which are already set up.
Important
If you would like to use the multiple PAYE feature for your business, please contact our support team so they can enable it for you.
Once updated, when you click on HMRC settings in your business, the options have decreased as some of these options are now available to be set up at a PAYE scheme level.
If you would like the Employment Allowance to be claimed on any PAYE schemes you are setting up, you must ensure that this section is completed.
This is the same for Apprenticeship Levy.
Under RTI Settings, this information will pull through as default as per individual PAYE schemes. However, you will be able to update the user ID and password as per individual schemes.
If the EPS submissions section has been completed, then this will default against all PAYE schemes.
To set up a new PAYE scheme:
- Click the Business menu.
- Under Business Settings, click PAYE Schemes.
- Click the Add button.
- You fully set up your new PAYE scheme with the below HMRC options for your scheme.
Here are some important things to note:
- Employer name and address - these are the details that will appear on payslips, AE letters, P45s, and P60s.
- HMRC User ID/Password and Email - if these boxes are not completed then the system will default and use the credentials set in the HMRC settings page.
- Employment Allowance - this option will only appear if this option is set up under HMRC Settings. The allowance is only able to be set up against one PAYE scheme.
- Apprenticeship Levy - as mentioned, this will only appear if this option is set up under HMRC Settings. The maximum allowance (currently £15,000) can be split over several PAYE schemes.
- Default pension scheme - these options will pull through from any schemes set up in Pension Settings.
- Staging/Re enrolment date - if there is nothing entered here then the date from Pension Settings will be used. You also have the option to include employees who have opted out in the last 12 months per PAYE scheme.
- Payslip Logo - you can upload a payslip logo by PAYE scheme by clicking on ‘Choose a logo’.
Any PAYE schemes which have had a pay run processed and finalised against them, you will be unable to delete the scheme and the trash can will be greyed out. However, any scheme which has not had any pay runs processed against them, you will see a red trash can which enables you to delete if you need to.
To set up a new pay schedule to pay employees against your new PAYE scheme:
- Click the Business menu.
- Under Pay Run Settings, click Pay Schedules.
- Click the Add button.
- Set up your pay schedule as normal. You need to ensure you select a PAYE scheme here, otherwise the schedule will not save.
- You can set up multiple Pay Schedules with the same PAYE scheme selected.
Any pay schedules which have had a pay run processed and finalised against them, you will be unable to delete the scheme and the trash can will be greyed out. However, any scheme which has not had any pay runs processed against them, you will see a read trash can which enables you to delete if you need to.
When setting up a new employee via the wizard, the options are available to set up your employee against a PAYE scheme and Pay schedule here.
Against the Pay schedule, the only options that will be available to you are any you have set up against your PAYE Scheme.
You can update these sections against an employee via the ‘Pay Run Defaults’ section.
When the employee has been included in a finalised pay run, the PAYE scheme will be greyed out and cannot be changed. If an employee does need to be moved to a new PAYE scheme, they will need to be made a leaver and set up as a new employee against a new scheme.
You can use the import function to update or when adding employees to the platform via the ‘PaySchedule’ column on the import file.
Once you have imported, the platform will automatically select the correct PAYE scheme linked to the Pay Schedule from your import in the Pay Run Defaults section against the employee.
If you already have a business set up who would like to use this feature, then you can do this by ticking the box in Partner Dash as normal. From this, your business will hold the HMRC settings and will set up an ‘Initial PAYE scheme’ with the details you had in place. You are then able to add any new schemes/pay schedules and then add this information to your employees.
For Employment OS users, you would set up the employees as normal in the HR platform, selecting the PAYE scheme accordingly in the salary history section against the employee.
This will then pull through into the payroll side. Please note that if an employee you are amending has already had pay processed against this pay schedule in payroll, then you will receive an error when trying to sync.
Pay runs are created and finalised in the same way as you do now. When you create a pay run, you will be asked to select your pay schedule as normal
You can then make changes to the pay run as you do now and finalise as normal.
P32 Report
There has been a new filter added so you are now able to filter the P32 report per PAYE scheme. Please note that you will only be able to view the P32 report for 1 PAYE scheme at a time. You will not be able to view the P32 figures for more than one.
When paying HMRC, you can select which PAYE scheme or scheme(s) you would like set against your Payment Settings.
- Under Business Settings, click Payment Settings.
- Click the PAY HMRC checkbox.
- Then, you will have the option here to add your PAYE schemes.
RTI Submission Messages
There has been a new filter added so you can view any RTI submissions per PAYE scheme. You are also able to view all the messages over all of your PAYE schemes too if you want to.
Employer Payment Submission (EPS)
There has been a new filter added so you can view or send EPS submissions per PAYE scheme. You will only be able to view and submit an EPS for one PAYE scheme at one time.
Gender Pay Gap Data Report
There has been a new filter added so you can run this report for one or all of your PAYE schemes.
HMRC Inbox Report
There has been a new filter added so you can run this report for one or all of your PAYE schemes.
The reports on the HR platform will work in the same way. You can select all or one of the pay schedules you would like detailed in the report.
Please note that once a business is set up for Multiple PAYE and the user then decides they do not want to use this, they will need to set up their PAYE schemes back up on separate businesses.
