Rota Settings allow you to configure rules, warnings, and notifications for your rota management. These settings help ensure compliance with working time regulations, streamline shift management, and automate notifications for both employees and managers.

rota rules and warnings help you maintain compliance with working time regulations and certification requirements. When enabled, these rules display warnings in the rota when conditions are met.
Enable this setting to display a warning when the gap between shifts on the same day falls below the minimum required rest period. This helps ensure employees receive adequate rest between shifts worked on the same day.
Enable this setting to display a warning when the gap between shifts across different days falls below the minimum required rest period. This ensures employees receive sufficient rest between shifts that span consecutive days.
Enable this setting to display a warning when an employee is scheduled to work too many consecutive days without a break. This helps prevent employee fatigue and ensures compliance with maximum working days regulations.
Enable this setting to display a warning when an employee is scheduled to work more than the maximum allowed days in a single week. This helps maintain work-life balance and regulatory compliance.
Enable this setting to display a warning when an employee is rostered for a shift but their required certification has expired. This ensures only qualified employees with valid certifications are scheduled for specific roles.
Enable this setting to display a warning when an employee is rostered for a shift that requires a certification they do not possess. This helps prevent scheduling employees for roles they are not qualified to perform.
Shift settings
Shift settings control how employees interact with their rostered shifts, including accepting, declining, bidding for, and swapping shifts.
Shift confirmation
Enable this setting to allow employees to decline rostered shifts after they have been published. When an employee declines a shift, they will be removed from the assignment and the shift will become unassigned.
Enable this setting to require employees to explicitly accept their rotaed shifts. This ensures employees confirm their availability and commitment to work during their assigned shifts.
When shift confirmation settings are enabled, specify the number of hours before the shift starts by which employees must take action (accept or decline). Enter the number of hours in the field provided.
The system behaviour depends on which confirmation settings are enabled:
- If only "decline shifts" is enabled and no action is taken, the shift is considered accepted.
- If only "accept shifts" is enabled and no action is taken, the shift becomes unassigned.
- If both options are enabled, you can configure the default action in your settings.
Shift locking
Enable this setting to automatically lock shifts after a specified number of days have passed. Enter the number of days in the field provided. This helps prevent changes to shifts that are in the past and ensures historical rota data remains accurate.
Enable this setting to automatically lock a shift when an employee clocks in to their rostered shift. This helps preserve shift accuracy through to the timesheet level by preventing modifications once an employee has started work. This ensures the rostered shift data matches the actual time worked.
Enable this setting to automatically lock a shift when the associated timesheet is approved. This helps preserve shift accuracy through to the pay level by preventing changes once timesheets have been finalised. This ensures rota data remains consistent throughout the entire payroll process.
Shift bidding
Enable this setting to allow shift bidding. With shift bidding enabled, you can assign a shift to multiple employees, and the first employee to accept the shift will be assigned to it. This simplifies filling unassigned shifts.
Enable this setting to specify a cut-off time for employees to bid on open shifts. Enter the number of hours before the shift starts. After this time, employees cannot accept the shift, and it will not be visible in their portal or WorkZone.
Enable this setting to send reminder notifications to employees about open shifts they can bid on. Specify the number of hours before the shift starts when the reminder should be sent. This helps ensure employees don't miss opportunities to pick up additional shifts.
Shift swapping
Enable this setting to allow employees to initiate shift swaps with colleagues. Employees will have access to a list of colleagues with whom they can potentially swap shifts if they are unable to work their assigned shift.
Enable this setting to specify a cut-off time for shift swaps. Enter the number of hours before the shift starts. Swaps must be completed before this timeframe, or the swap will be cancelled and the shift will revert to the original employee.
Enable this setting to require manager approval for all shift swaps before they are finalised in the rota. When enabled, managers must approve the swap after the receiving employee has accepted it.
EH Work Clock In and Out
Configure automated notifications to remind employees to clock in and out, and alert managers when their team members have not clocked in or out as expected.
Enable this setting to automatically send reminder notifications to employees who have not clocked in or out for their rostered shift.
Configure the following:
- Minutes after shift starts: Enter the number of minutes after the shift starts to send a reminder if the employee has not clocked in.
- Minutes after shift ends: Enter the number of minutes after the shift ends to send a reminder if the employee has not clocked out.
Enable this setting to automatically send alert notifications to managers when their direct reports have not clocked in or out for their rostered shift.
Configure the following:
- Minutes after direct report's shift starts: Enter the number of minutes after the shift starts to alert the manager if the employee has not clocked in.
- Minutes after direct report's shift ends: Enter the number of minutes after the shift ends to alert the manager if the employee has not clocked out.
Tip: Remember to click Save after making any changes to ensure your settings are updated.
