When you connect Employment Hero with your payroll platform, Employment Hero becomes the primary source of truth for all information, including company settings, payroll settings, and employee data. During the connection process, the Employment Hero automatically imports your organisation's details, payroll settings, and employee files from the payroll platform.
After this initial sync, data will only flow one way — from the Employment Hero to the payroll platform — because the connection is not bidirectional. This means all updates must be made in the Employment Hero, and any changes will automatically sync to the payroll platform.

Step 1. Ensure that your email addresses match in Employment Hero and payroll
Before you can connect your HR and payroll platform, you must ensure that the email address for anyone who already exists in your HR platform matches their email address in your payroll platform.
This is because the email address is the identifying connection between an employees HR and payroll profile and if they don't match at the time you connect the two platforms then a duplicate employee profile will be created in HR.
- Log in to Employment Hero.
- Click the People menu option on the left-hand side navigation menu.
- Click on Employees' List.
- Click on any employee.
- Click on Employment Records.
- At the Account email field, this must match the email address in your payroll account.
- Continue this process for all employees who you want to sync over to payroll.
- Log in to your payroll platform.
- From the payroll dashboard, click on the Employee icon.
- Click on List.
Click on the same employee that you clicked on in Employment Hero to ensure that their email addresses match in both platforms.
Scroll down to the email field, and ensure that this email address matches the one on file in Employment Hero.
Step 2. Perform a data cleanse
- Log in to your payroll platform.
- Click on Employees (the people icon).
- Click on List.
- Click on Export.
On the export employees screen, ensure that the following options are selected from the 3 dropdown menus:
- Data type - Template with employee data
- File - Standard format file
- File format - Excel spreadsheet.
- Click on the Download button.
- The file is now ready to view in your preferred spreadsheet program.
- Log in to Employment Hero.
- From the Employment Hero dashboard, click on People.
- Click on Import employees.
- Under Step 1. Prepare your personnel data on one spreadsheet; click on Update employee employment details.
- Click on Download.
- The file is now ready to view in your preferred spreadsheet program.
- Open both of your downloaded CSV files (your payroll CSV file and your Employment Hero CSV file) and compare these key fields:
- Name
- Address
- Date of birth
- Email address.
- Assess which CSV file is the most accurate, and make this CSV file your source of truth.
- Once you have decided which is the most accurate, update the other platform so they perfectly match.

Once you've completed all of your pre-sync checks, you are ready to connect your platforms.
Step 3. Connect Employment Hero to your payroll account
Helpful Hint
When connecting your Payroll classic account to Employment Hero, you can use the credentials of any Admin User within Payroll classic. The login email of the Employment Hero account being used does not have to match the login email used to log into Payroll classic.
- Log in to Employment Hero.
- Click the Settings menu option on the left-hand side navigation menu.
- Under General Settings, click the Add-ons submenu.
- Click the Connect button for Employment Hero Payroll classic.
- Read the contents of the Connecting to Payroll screen.
- Click the Start button.
- Read the contents of the Current Employees screen.
- Click the Next button.
- Read the contents of the Terminated Employees screen.
- Click the Next button.
- Read the contents of the Match Emails screen.

Click Yes or No to the question Do you have your own employee file within payroll (are you paid from this payroll file?)
Helpful Hint
If you answered Yes, you need to confirm the email address used in your employee file in payroll.
If you need to switch to another email for the payroll classic platform, follow these steps:
- Click No to the question Is this the email address used in your own employee file in payroll.
- Type your email address in the text field that will appear.
- Click the Update button.
You will receive an email with instructions on how to verify your new email address.

Click the Connect now button.
Helpful Hint
After clicking the Connect now button, you will be redirected to the payroll classic platform.

Enter your username and password.
Important
Please use the login details associated with your full user/payroll admin account.
- Navigate to your payroll platform.

Enter your email address, password then click the
Log In button.
- Choose how you want to receive your two-factor authentication code.

Click the Send Code button.
- Enter your two-factor authentication code.

Important
If you have multiple payroll accounts, choose which one to connect to Employment Hero. Then, click the Select button.
Once Employment Hero has imported the data from your payroll classic platform, you will see a status screen which will display any integration errors. If there are integration errors, you can click the View Conflicts button to learn about the import conflicts.
