Finding the right talent doesn't have to be time-consuming. The Talent Search feature, powered by SmartMatch, lets you quickly search for candidates in your talent pool, review their profiles, and invite them to your open positions, all without leaving the platform. SmartMatch helps you find the best candidates by intelligently matching job requirements with candidate skills and experience.

Tip

You can search for candidates either locally (within 100km of a specified location) or globally by leaving the location field empty. This gives you the flexibility to find talent anywhere.

Search for candidates

How to search for candidates
  1. Click the Recruitment menu from the left sidebar.
  2. Click the Talent Search submenu.
  3. You will see the Talent Search landing page with a search bar. If this is your first time using Talent Search, you will see Suggested for You prompts to help get you started. Once you have run at least one search, this section is replaced with Recent Searches showing your three most recent queries so you can quickly pick up where you left off.
  4. In the search bar, enter the job title and any relevant details you are looking for. The more detail you provide, the better results you will get. For example:

    • "Barista with latte art skills in Sydney"
    • "Accountant with Xero experience in Brisbane"
    • "Marketing Manager with social media expertise in Melbourne"

    The natural language search will match job titles, skills, keywords, and other candidate attributes based on your input.

  5. Optional: Add a location to search locally. If you specify a location, results will show candidates within 100 kilometres of that area. If you leave the location blank, you will see candidates from anywhere (global search).
  6. Press Enter or click the search button to execute your search.
  7. The system will display matching candidates from your talent pool, showing:
    • Candidate name and job title
    • Distance from your specified location (for local searches)
    • Years of experience
    • Salary expectations
    • Last activity date
    • A brief bio or professional summary

Recent searches

How recent searches work

Talent Search automatically saves your last three searches so you can quickly return to them without re-entering your criteria.

  • First-time users: When you open Talent Search for the first time, you will see a Suggested for You section with recommended search prompts to help you get started.

  • Returning users: Once you have run at least one search, the Suggested for You section is replaced by Recent Searches, which displays your three most recent queries as clickable chips below the search bar.
  • Clicking a recent search chip re-runs that search instantly, allowing you to pick up where you left off without retyping.

Note

Recent searches are saved automatically — there is nothing you need to do to enable this. Only your three most recent searches are shown; older searches are removed as new ones are added.

View and invite candidates

Review candidate profiles and invite to jobs
  1. From your search results, click on a candidate's card to view their full profile.

  2. On the candidate's profile, you will see:
    • Summary of their experience and key highlights
    • Professional certifications (for example: HSC, RSA, Food Safety Certificate)
    • Work history and employment timeline
    • Full professional summary
  3. Click the Invite to job button to proceed.
  4. You will have two options:
    • Invite to an existing job: If you have open positions already created, select the job you'd like to invite the candidate to
    • Create a new job: If you do not have a matching job posting yet, you can create one directly from this flow

Note

If you don't have any jobs already in your system, you'll be taken to the job creation process without having to choose an existing job.

  1. If creating a new job: You will be taken to the job creation screen with:
    • The candidate's name pre-filled at the top
    • Job title field (pre-populated based on your search)
    • Location field
    • Workplace type and job type selections
    • Job description field
  2. The system can generate a job description automatically using AI, or you can write your own. Fill in all relevant job details.
  3. Click Post and invite [Candidate Name] to job to complete the process.
  4. The job will be posted to your jobs board and career page, and the candidate will be invited to apply. You will be redirected to the Applicant Tracking System (ATS) for that job.

Tip

Using AI to generate job descriptions can save you time and ensure consistency. The AI generates descriptions based on the job title and details you provide.

Save and manage candidates

How to save a candidate

You can save candidates directly from your search results to revisit them later without needing to run the same search again.

  1. From your search results, click on a candidate's card to open their profile panel.
  2. Click the three-dot menu (⋯) in the top right of the profile panel.
  3. Select Save for later. The candidate will be added to your Saved Candidates list.

Note

A candidate is also automatically saved when you invite them to a job from Talent Search.

How to view and manage your saved candidates
  1. From the Talent Search landing page, click Saved Candidates below the search bar.
  2. You will see a list of all candidates you have saved, displayed using the same candidate cards as your search results.
  3. You can search by candidate name or filter the list by job or the team member who added the candidate.
  4. Click on any candidate card to open their profile panel and review their full details.
  5. To progress a candidate, click Invite to job and follow the same flow as in your search results.
  6. To remove a candidate from your saved list, open their profile and select Delete.

Tip

If your organisation was already using Saved Candidates in SmartMatch, those candidates are automatically available in Talent Search — no migration or manual action is needed.

No candidates in your open positions?

Use Talent Search when a job has no candidates

If you are viewing an open job in Recruitment and no candidates have applied yet, you will see an empty state prompt encouraging you to search for candidates.

  1. Navigate to a job in your Recruitment section that has no applicants.
  2. You will see a prompt to search for candidates in your talent pool.
  3. Click to initiate a talent search, which will conduct a local search based on the job's location.
  4. Review matching candidates and invite them directly to the job.
