Manage performance review visibility and manager access

Available for the following plans: Plus, Unlimited

The Update to Performance Review Functionality provides increased control over who can see performance data and when they can see it. These settings allow you to manage the visibility of reviewer feedback for employees and define specific access levels for managers and non-participants within a review period.

This article shows you how to manage the following:

Configure employee visibility for reviewer responses

Set when employees see reviewer feedback

By default, employees see responses as soon as they are published. You can change this setting during the creation of a review period or update it at any time for an active period.

  1. Log in to Employment Hero.
  2. Click the Performance icon on the left-hand menu.
  3. Click the Performance Reviews option.
  4. Click the Review Periods tab.
  5. Click the three dots next to the desired review period and select View Details (or click + Create new period).
  6. Navigate to the General Settings and Dates screen.
  7. Locate the Employee Visibility field and select one of the following options:
    • Only their own responses: Employees cannot see any reviewer responses until this setting is changed.
    • All responses as they are published: Employees see feedback immediately once the reviewer publishes the review.
    • Reviewer responses from a specific date: Choose a specific date when all reviewer responses become available for employees to view.
  8. Click Update review period or Create Review Period.

Helpful Hint

If you select a specific date in the future, employees will not see reviewer comments until that date, even if the reviewer has already published their responses. This is helpful if you need to conduct calibration cycles before sharing results.

Manage manager and non-participant access levels

Grant view-only access to non-participants

You can decide which users, outside of the direct participants, have view-only access to see an employee's performance review. This setting can be updated at any time, including for historical review periods.

  1. Log in to Employment Hero.
  2. Click the Performance icon on the left-hand menu.
  3. Click the Performance Reviews option.
  4. Click the Review Periods tab.
  5. Click the three dots and select View Details.
  6. Navigate to the Participants screen.
  7. Locate the Manager access to published responses field and select the roles or individuals who should have access:
    • Primary Manager
    • Secondary Manager
    • Indirect Manager
    • Specifically named individuals
  8. Click Update review period.

Helpful Hint

By default, Primary Managers and Indirect Managers are enabled. If you remove all selections, a banner will appear confirming that only HR admins and review participants will be able to view published responses.

Update access for past review periods

Visibility settings can be updated even if a review period occurred 6 or 12 months ago. Changing these settings will immediately grant or restrict access for the selected users across that specific review period.

Control Primary Manager visibility

If a Primary Manager is not a participant in a review, you can remove their ability to see that review by deselecting the Primary Manager option in the access configuration.
