The Payslip Management module allows organisations that use external payroll tools to surface payslip PDFs for their employees directly inside Employment Hero. This ensures that even if you do not have an active payroll integration, your staff can still access and view their pay records in one familiar place.
This article will show you how to manage the following:
- Create a new pay period
- Upload and assign employee payslips
- Publish and manage pay records
- Archive or delete pay periods
Create a new pay period
- Log in to Employment Hero.
- Click the Pay icon on the left-hand side menu.
- Click the Payroll option.
- Click the Payslip Management navigation item.
- Click the New pay period button.

Enter the From date and To date for the pay cycle.
Helpful Hint
The platform will automatically suggest dates based on your last pay period. If you select dates that overlap with an existing published period, you will see a warning message, but you can still proceed with saving your work.
- Click the Save button to keep the period as a draft.
Upload and assign employee payslips
- From the Payslip Management page, click the pay period you wish to edit.
- Click the Add payslips button.
- Select up to 10 PDF files from your computer and click Upload.
- Review the uploaded files in the table. You can click a file name to open it in a new tab for verification.
- Click the Name field in the table row if you wish to rename the payslip for the employee's view.
- In the Assignee column, click the field to open a searchable dropdown of your employees.

Select the correct employee to assign to that specific PDF.
Helpful Hint
Employees who already have a payslip assigned in this period will appear at the bottom of the list with an "Assigned" tag. If you reassign them to a new file, they will be automatically unassigned from their previous one.
- Click Save.
Publish and manage pay records
- Navigate to the draft pay period you have prepared.

Ensure all uploaded files have an assigned employee.
Important
The Publish button remains disabled until every payslip in the table has been assigned to an employee.
- Click the Publish button.
- Confirm the action in the pop-up window.
Once published, assigned employees will immediately receive an email and in-app notification. They can then view their payslip under their My Pay > Pay Slips module.
- On the Payslip Management table, find the published period.
- Click the Actions (...) button.
- Select Unpublish.
- Confirm you wish to unpublish the record.
This returns the period to a draft status and immediately hides the payslips from employee view, allowing you to make necessary edits.
Archive or delete pay periods
- Click the Actions (...) button next to a pay period.
- Select Archive to remove old records from your active view without affecting employee access.
- To restore a record, use the table filters to find Archived periods and select Unarchive from the actions menu.
- To permanently remove a record, ensure the period is in draft status, click Actions (...), and select Delete.
Important
Deletion is permanent and cannot be undone. All associated PDF files will be removed from the platform and cannot be recovered.
