Create, edit, and delete shifts on Payroll classic

Available for the following User Access levels: Manager, Admin   

The Rostering module within the payroll classic platform has a Template feature that allows you to create a set of pre-built employee shifts, with the ability to set up start and end times, break duration, locations, and any required roles. You can also use this feature to edit any details if they change and delete a shift, either in bulk, or individually, if it is no longer required.

Important

This feature on Payroll classic is not available for users under the following plans: Employment Lite, Employment Plus, and Employment Unlimited. Instead, you need to use the Rostering feature on the Employment Hero platform.

Helpful Hint

A useful trick to copy individual shifts quickly is to hold the Shift key on your keyboard, click an existing shift, either published or unpublished, and then drag the field to the relevant day. The platform will copy the shift as unpublished.

Getting started

Create a shift
  1. Click the Roster menu.
  2. Click the Roster Actions button.
  3. Click the Roster Templates button.

  5. Click on the shift panel that represents the day that needs a shift created.

  6. In the Create Shift panel complete the following fields:
    • From time.
    • To time.

    Helpful Hint

    Click the Add Break button to add a break in.

    • Break start.
    • Break end.

    Helpful Hint

    Click the Minus button to delete an added break.

    • Location.
    • Resource.
    • Qualifications.

    Helpful Hint

    The Qualifications field will only appear if an admin has enabled qualifications.

    • Work type.

    Helpful Hint

    The Work Type field will only appear if an admin has enabled work types.

    • Role.

    Helpful Hint

    The Role field will only appear if an admin has enabled shift roles.

    • Note.
  7. Click the Save button.

    Helpful Hint

    When you add multiple users in the resources field, this will automatically create the same shift for the selected employees.

Editing data

Edit a shift
  1. Click the Roster menu.
  2. Click the Roster Actions button.
  3. Click the Roster Templates button.

  5. Click on the employee shift that needs editing.

  6. Make the required changes and click the Save button.

    Helpful Hint

    You can change a shift time or date by dragging the created shift to a new position on the roster overview screen. The ability to allocate shifts by clicking and dragging is only available for shifts in drafting stage.

Deleting data

Delete a shift: Individual shift
  1. Click the Roster menu.
  2. Click the Roster Actions button.
  3. Click the Roster Templates button.

  • Copying a shift does not work for us. It used to work if on a mac though not on a PC, now neither works.
