How do I upload a Roster Live (WHS) data file onto my payroll classic platform?

Answer

You can use the Timesheet Importing feature to import the timesheet data stored within your Roster Live (WHS) platform.

Important

This feature on Payroll classic is not available for users under the following plans: Employment Lite, Employment Plus, and Employment Unlimited. Instead, you need to use the Rostering feature on the Employment Hero platform.

Warning

Timesheets will only flow from Employment Hero to your payroll classic platform, i.e. this data connection is not bidirectional, and any timesheet submissions made in the payroll classic platform will not flow through to Employment Hero.

Uploading a roster live (WHS) data file
  1. Click the Timesheet menu.
  2. Click the Import Timesheets submenu.
  3. Select the WFS (Roster Live) option in the Import Timesheets drop-down.
  4. Click the Select File button.

  5. Click the Confirm Upload button.

  6. Complete the following fields:
    • Default date.
    • Replace a previous timesheet.
    • Approve timesheets.

    Helpful Hint

    The Approve Timesheets option allows you to choose whether the platform automatically approves the timesheets being imported or whether they need to go through your organisation's timesheet approval workflow.

  7. Click the Import button.

    Helpful Hint

    You will now see on your screen a status message showing the successful uploading of your custom timesheet data file onto your payroll classic platform.

Supported column types
Column Name Required Notes
Break end.   Used to specify when the break is finished.
Break start.   Used to specify when the break started.
Category ID.   The pay category or leave category associated with this time sheet line.
Column Name.   Description.
Comments.   Any notes associated with this time sheet line.
Employee ID   The Employee ID associated with this time sheet line.
Location ID   The Location ID associated with this time sheet line.
Rate   The rate you pay the employee for each earnings line.
Time in.   Used to specify when this time sheet line started. The platform will include this information in the notes for this timesheet line.
Time out.   Used to specify when this time sheet line finishes. The platform will include this information in the notes for this timesheet line.
Type.  

Used to specify if this line is a leave line or a pay category line. Valid values are:

  • L: Denotes a leave line.
  • P: Denotes a pay category line
Units.  

The units that need adding to this time sheet line. You will need to specify units in hours for hourly earnings lines.
