Providing you with a step-by-step guide on how you can process an employee overpayment, which you can do via the Pay Run module. You will need to undertake the below steps via your Employment Hero Payroll platform.
Getting started
Select which type of overpayment you want to make for the relevant instructions.
Available for the following plans: Employment Plus, Employment Unlimited
Available for the following Payroll classic plan: Standard, Premium
- Log into your Employment Hero Payroll classic platform.
- Click the Pay Run menu.
- Click the New Pay Run button.
- Select the Manually Add Employees to this Pay Run tick box.
- Select the Empty Pay Packets tick box.
- Complete the following fields:
- Pay schedule.
- Pay period ending.
- Date Pay Run will be paid.
- Click the Create button.
- Click on the Actions tab.
- Click the Pay Run Actions button.
- Click the Add Employees button.
- Type the name of the required employee into the Select an Employee field.
- Click the Add Employee button.
- Click the Close button.
- Click on the employee name that needs an earnings line added.
- Click the Actions button.
- Click the Add Earnings button.
- Select the relevant pay category within the Pay Category drop-down.
- Enter the repayment value as a negative amount.
- Click the Save button.
- Click the Finalisation button.
- Complete the following fields:
- Date paid.
- Create a pay event:
- Create a pay event manually at a later date.
- Create pay, even immediately.
- Click the Finalise button.

- Click the Pay Run menu.

- Date Pay Run will be paid.
- Click the Create button.
- Click on the Actions tab.
- Click the Pay Run Actions button.
- Click the Add Employees button.
- Type the name of the required employee into the Select an Employee field.
- Click the Add Employee button.
- Click the Close button.
- Click on the employee name that needs a PAYE line added.
- Click the Actions button.
- Click the Adjust PAYE button.
- Add any notes to the Notes field.
- Enter the repayment value as a negative amount.
- Click the Save button.
- Click the Finalisation button.
- Complete the following fields:
- Date paid.
- Create a pay event:
- Create a pay event manually at a later date.
- Create pay, even immediately.
- Click the Finalise button.

- Click on the Actions tab.
- Click the Pay Run Actions button.
- Click the Add Employees button.
- Type the name of the required employee into the Select an Employee field.
- Click the Add Employee button.
- Click the Close button.
- Click on the employee name that needs an HRMC line added.
- Click the Actions button.
- Click the Add HRMC Value button.
- Select the relevant contribution from the HRMC Adjustment drop-down.
- Add any required notes within the Notes field.
- Enter the repayment value as a negative amount.
- Click the Save button.
- Click the Finalisation button.
- Complete the following fields:
- Date paid.
- Create pay event:
- Create pay event manually at a later date.
- Create pay even immediately.
- Click the Finalise button.
