Set up and run a compensation review

The Compensation Manager feature allows you to manage salaries, bonuses, and benefits in one location. By using the Compensation Manager, you can make sure that any compensatory changes are managed fairly and effectively. The feature is ‌currently on a pre-release trial; further details regarding the full release will be announced soon.

Admins

The following outlines the steps that Administrators must perform regarding the compensation cycle.

Create a new compensation cycle
  1. Click the Pay menu.
  2. Click Management under the Compensation menu.
  3. Select Create a new cycle.

  4. Under Details, complete the required fields, then click the Next button.

  5. Select the applicable employees, which will appear in the list of employees.

  6. Click the Next button.

  7. Next, in Columns, select what data you​ would like to include in your compensation cycle for consideration. Click on the right-hand facing arrow to expand the datasets in the topic.

  8. Click on the dataset you want to add.

  9. Click on Next.
  10. Under Rules, select any applicable rules to apply to this compensation cycle, then click the Next button.compmanager05.jpg
  11. The following screen outlines any exchange rates based on currencies not local to where the business is located.

    Helpful Hint

    If the currency selected is in the same region as the business, you will be notified that no currency exchanges will need to occur.

  13. Select the allocated/additional budget for the compensation review, based on the employees selected.

Launch a compensation cycle
  1. Click the Pay menu.
  2. Click Management under the Compensation menu.
  3. Select the compensation cycle you would like to start.

  4. Check employee details, then click the Launch button.

Approve or decline a review
  1. Click the Pay menu.
  2. Click Management under the Compensation menu.
  3. Select the employee whose recommendation you would like to review.

  4. Review the manager recommendations, and add any comments to the review as necessary. Click Approve or Decline depending on the decision made.

  5. Confirm the decision.

  6. The review status will now appear as Approved or Declined.

End a compensation cycle
  1. Click the Pay menu.
  2. Click Management under the Compensation menu.
  3. Select the compensation cycle you would like to end.

  6. The cycle will now show as Ended on the Compensation Management list.

Delete a compensation cycle
  1. Click the Pay menu.
  2. Click Management under the Compensation menu.
  3. Click the Delete button on the cycle you would like to delete.

Managers

The following outlines the steps that a Manager performs during the compensation review

Make a recommendation
  1. Click the Pay menu.
  2. Click Management under the Compensation menu.
  3. Select the current compensation cycle.

  4. Select the employee you would like to recommend for review.

  5. Add any notes applicable to the review, then click the Save button.

  6. Add any additional comments, then click the Send for Approval button.

  7. Confirm the recommendation with the Send for Approval button.

  8. You can now see the approval status of the review, along with any comments and review activity.

Basic vs advanced view

Basic view will display the essential columns to put forward a recommendation. The basic view will display the following:

  • Name
  • Recommender
  • Eligibility
  • Current salary (local)
  • Current salary
  • Guidance
  • Increase %
  • Increase amount
  • New salary
  • Change reason
  • Alerts
  • Justification.

Advanced view will show all of the columns shown in the basic view plus any additional columns that the admins want to consider in a compensation review recommendation. The advanced view columns are set up by the admin staff member creating the compensation cycle. See the above accordion Create a new compensation cycle for how to do this.

How do we determine the salary benchmark?

Our salary benchmark data is powered by over 400,000 Employment Hero data points to provide a breakdown based on seniority, tenure, industry, and residential state. It helps employer managers by telling them if an employee's salary is low/medium or high compared to the benchmark, and how confident we are in the benchmark banding.

The Salary Benchmarking Tool considers the average salary for the specific role. For this reason, the salary displayed in the feature does not account for employment type (e.g., Part-Time or Full-Time). Additionally, it is based on the base salary, which excludes pension contributions.

What do the highlighted rules and alerts mean?

If the alert is orange, this means that the effective date is the same or after the cycle effective date, and that this should be resolved before the admin ends the cycle. If an employee is highlighted as purple, this means that their recommendation is above the guidance set. If the employee is highlighted as orange, their recommendation is below the set guidance.

Can I download a CSV of the current compensation review?

You can download a CSV of the current compensation review by clicking the Download button when viewing the review.

Does the feature list the employees with a missing pay category?

Yes, the Compensation Manager will list the number of employees with missing pay categories when closing a compensation cycle.

Do the pay rates automatically update in EH HR?

Yes, after the recommender and admin have approved the workflow, the admin will then end the cycle. When the cycle is ended, the changes will automatically be applied to the employees pay details.

Do these rates then update EH Payroll as part of normal syncing?

Yes, the new rate will synchronise to payroll, just as if you had updated it manually. It is important to note that if the increase/change is forward dated, it won't come into effect or become the current salary until that date. This also means that the rate will not synchronise to payroll until this date.

Does EH generate a pay increase letter from the template or can this be done once a pay cycle is completed?

Currently this is not a part of the Compensation Management tool workflow.
