View leave requests as a manager, employee, and contractor

Available for the following HR plans: Free, Standard, Premium, Platinum
Available for the following user access levels: Manager, Admin

With the View leave and unavailability features, managers, employees, and contractors can easily check the status of all out-of-office entries – whether they are regular employee leave or contractor unavailability.

The feature helps managers stay updated on team availability across different worker types and provides employees and contractors with a quick, convenient way to track their own calendar schedules.

Important

You can only view an employee leave request if the Payroll classic platform has processed it in a pay run and imported the pay slips into Employment Hero. This does not apply to contractor unavailability, which is logged instantly.

To check the status of a team member's schedule, go to Time in the main menu, select Leave Management from the submenu. Managers can view contractor unavailability right alongside employee leave, and can use the Worker type filter to choose between viewing Employees, Contractors, or both.

Manage leave and unavailability as a manager

View employee's leave or contractor's unavailability
  1. Click the  Time menu.
  2. Click the Leave Management submenu.
  3. Locate the Worker type dropdown filter near the top of the table. Check the boxes for Employees, Contractors, or both, then click Apply to filter your view.
  4. Find the leave request or contractor unavailability entry you want to view.
  5. For employee leave requests, click the Actions button followed by the View button. Contractor unavailability records show an instant, automated status label directly inside the table.

  1. Click the  Time menu.
  2. Click the Leave Management submenu.
  3. Find the relevant leave request.
  4. Hover over the   to see the leave balance details.

  1. On the dashboard, refer to the Leave Calendar widget.

  2. Click the relevant leave period. (If you hover your cursor over it, you will see a black box confirming the dates.)

  3. Approve or decline the leave request as required in the Leave Request window.

  1. Click the  Time menu.
  2. Under Leave, click the Leave submenu.
  3. Click the Filter button.
  4. Filter your search based on:
    • Date Range
    • Leave Category
    • Status
  5. Click the Search button.

  7. Click the View button.

  8. Read the details of your leave request in the Leave Request window.

View unavailability history as a contractor

View your logged unavailability

Contractors can track and manage their history of recorded unavailability directly from their personal dashboard log.

  1. Click the  Time menu.
  2. Under Unavailability, click the Unavailability submenu.
  3. Review your entry history list. From this log, you can see scheduled dates, times, customized comments, and tracking states. Entries recorded here are confirmed instantly.

Frequently asked questions

Can I apply for leave if I do not have a positive leave balance?
You can still apply for future leave even if you have not accrued enough leave. The platform will accommodate the request as projected leave, but it does not consider pending leave requests in this calculation. This balance tracking does not apply to contractor unavailability entries.
Why can I not see a leave type I am meant to have?
It is best to check this with your employer. Employers, depending on the payroll connection type, can hide certain leave types. If you believe this is a mistake, let your employer know.
Why is my Outlook calendar displaying the wrong leave dates?

There is an occasional issue where external calendar invites in Microsoft Outlook show the wrong date, meaning it is inconsistent with the leave submitted in your HR platform.

Click on and open the calendar invite often corrects the date display in Outlook.

This issue is due to how Outlook handles .ics calendar invites. As this is an Outlook-specific issue, we recommend contacting Outlook support directly if further assistance is required.

Why can I not view all my leave balances?
It is best to check this with your employer. Employers, depending on the payroll connection type, can hide certain leave balances. If you believe this is a mistake, let your employer know.
