Delete/remove an employee from your platform

Available for the following plans: Employment Lite, Employment Plus, Employment Unlimited
Available for the following HR classic plans: Standard, Premium, Platinum
Available for the following user access level: Admin

Deleting/removing an employee's profile is an important action. It is what you will need to do if you do not wish to offboard an employee and instead aim to remove all that employee's data and history completely and permanently from your platform. 
Deleted users do not automatically sync across to the payroll platform. If you also use the payroll platform, you will need to delete the employee there too. Learn how to delete an employee on payroll classic in this article.

This article explains how to delete/remove an employee's profile, as well as what to do if that profile is greyed out (meaning it appears to be undeleteable and irremovable).

Delete/remove an employee from the HR platform

Warning

Please note that deleting an employee from your platform means you will not be able to reactivate their profile in the future. In case you want to hire them back, you will have to onboard them again from the start.

  1. Click the   People menu.
  2. Click the Employees List submenu.
  3. Click the Action   button for the employee you want to remove.

Important

These instructions assume that the employee profile you want to delete is not greyed out. If the relevant employee profile is greyed out, note that this occurs because an admin can not delete an employee once they have:
  • An asset assigned
  • Onboarded an employee
  • Submitted or approved leave
  • Submitted or approved timesheets
  • Signed an HR document and/or contract
If the above situation applies, you can avoid having the employee profile greyed out by going through the tabs of the employee profile and deleting all attached information on their profile.

4. Click the   Delete button.

A confirmation window called Delete employee file will now appear.

5. In the Delete employee file window's textbox, type the employee's name exactly how it has been recorded in the system.

Tip: The window will provide you with the exact spelling of the employee's recorded name written in bold (and inside parentheses). You can type using the name inside the parentheses to ensure your spelling matches the employee's recorded name completely correctly.


6. To confirm the deletion, click the   Delete button.
