Custom Forms Uplift Slice 2 - Employee Form Access (Self-Service)

Release Date: 18/08/2025

Target Users: Global Forms users (EU, Employment Plus and Platinum)

Description: Today, employees can’t independently discover or start forms. They must be manually assigned by an admin, which blocks them from completing common tasks (e.g. equipment requests, training enrolments, or allowances) in their own time. Every form requires manual assignment, even when the form should apply to entire teams or the whole organisation. This creates unnecessary bottlenecks, slows down repeatable processes, and often leads to forms being abandoned or replaced with external tools like Google Forms.

Product features:

  • New “Forms” menu item in navigation (Employee view): Employees see a dedicated Forms module in the sidebar.
  • Forms tab: A centralised, searchable list of forms available to the employee, with form cards showing title and description
  • Start Form: Employees can independently initiate any available form without needing admin assignment.
  • Unlimited submissions: Employees can make unlimited submissions to an assigned form.

Contractor Payments

Objective: Log changes made to Contractors in Audit Trail report

Description: Currently, any changes made to a contractor's profile are not logged in the Audit Trail report. This means that admins would need to reach out to support to know who made a change to a contractor profile. It makes it hard to self-serve and investigate any changes made on the platform. As we will be rolling out contractor sync soon, we need to easily let our users triage and investigate when a particular information is updated by any one on the platform.

What's Changing? We are introducing audit trail logs regarding any updates made to a contractor within Reports > People > Audit Trail. This will allow admins/owners to view any logs regarding changes made to a contractor.

Release Dates: 22nd of August, 2025

Target users: Global, All subplans

Settings Uplift - Slice 2

Objective: Restructure of settings pages

Description: Through UX research and testing with customers, we identified where they naturally expected to find certain settings and which naming conventions resonated most with them. Based on these insights, we restructured the consolidated settings page by:

  • Renaming several settings pages and groups for clearer, more intuitive wording.
  • Relocating pages to settings groups that better reflect how customers think about them.

Updates made:

  • Settings pages renamed
  • Billing → Subscriptions & Billing
  • Nominated Superannuation Fund → Company Default Super Fund (AU)
  • System Settings → System Setup
  • Custom Security Settings → Permissions
  • Checklists → Onboarding & Offboarding Checklists
  • Payroll Settings → Payroll Tax (CA)
  • Settings groups renamed
  • Employee Management → People
  • Payroll & Benefits  → Payroll
  • Settings pages relocated
  • Branding relocated to the Company group
  • Subscriptions & Billing relocated to the Company group
  • Onboarding & Offboarding Checklists relocated to the Recruitment & Onboarding group
  • Add-ons relocated to the Security & Access Control group
  • Menu Customisation relocated to the Security & Access Control group
  • Payroll Integration Settings removed from the consolidated settings page (still accessible via the Employee List)

Release Schedule: 19/08/2025 - Updates have been added to the existing open beta 'New Settings Look & Feel'. Additionally, any new customers who joined from 15/05 onwards will automatically receive these updates.

Target Users: All regions

Enhance Bulk Addition of Employees

Description: We have improved our CSV import functionality by adding new optional columns to the import templates and enabling them to be updated via CSV:

  • Personal Email (optional)
  • Pay Details Change Reason (optional)
  • If provided, other pay detail fields must also be completed.
  • Validated against the dropdown list in the UI.
  • Pay Details Comment (optional)
  • If provided, other pay detail fields must also be completed.

Because these are PII/sensitive fields, they are only available to be exported in templates gated by 2FA. As part of this release, we've also updated how we validate and audit NZ IRDs. When IRDs are imported via CSV, the audit trail will now correctly display in the audit trail view (it was previously displaying as 11 digits).

Update to 2FA Verification Flow for SMS Users on Payroll Web

Description: Whilst we have removed Email as a 2FA method on Payroll Web, users who only have SMS setup as their 2FA method are still presented with the method selection screen even when they do not have any other method available for selection. To improve this user experience, we have updated the 2FA verification flows when a user is logged in so that for users with only SMS setup as their 2FA method, they get presented with the code input screen for SMS 2FA immediately.

Minor Update to Reauthentication Modal on Payroll

Description: With the introduction of Passkeys as a method to login on Payroll, we have updated the reauthentication modal to improve user experience. Previously, users would need to enter in their email, followed by password to reauthenticate. Now, users only need to enter in their password to reauthenticate. Alternatively, they can use their Passkey. This update also aligns the user experience of Payroll with that of HR.

Release Date: 19 August 2025

Target Users: All Payroll Web Users

Prevent the Use of Breached Passwords for User Accounts

Description: Enhanced Password Security

We've improved our password security to better protect your account. Now, when you create or reset your HR password on the Web, our system automatically checks it against a database of compromised passwords.

What's New?

  • Real-time Protection: When creating or updating your password, if your newly specified password has been exposed in a known data breach, you'll be notified immediately and requested to provide a new, unique password. Applied in the following flows:
    • User Account Settings → Change Password
    • Password Reset
    • Create New Organisation → Setting up password for the first time
    • New User → Setting up password for the first time
    • Business Portal → Change Password

This update is step in keeping your data safe. We recommend always using a strong, unique password for your account.
