Automations

Custom Forms Uplift Slice 2 - My Submissions

Release Date: 04/09/2025

Target Users: Global Forms users (EU, Employment Plus and Platinum)

Description: Employees had no central place to view or track their own form submissions, causing confusion about status and losing time hunting for past responses and attachments. Admins became the bottleneck for simple queries (“Did I submit?”, “What’s the status?”), creating unnecessary support load and back-and-forth.

Product features:

  • Dedicated My Submissions Tab – Employees can access a central page within the Forms module to review all their submissions.
  • Submission List View – Displays form title and submission date.
  • Date Filtering – Employees can filter submissions by start/end date for easier discovery.
  • Read-Only Detail View – Clicking a submission opens the full response.

 

Custom Forms Uplift Slice 2 - Responses Tab

Release Date: 04/09/2025

Target Users: Global Forms users (EU, Employment Plus and Platinum)

Description: Admins had to export responses to CSV every time just to view or analyse submissions, creating unnecessary friction and delays. Lack of in-platform visibility made it harder to quickly review, filter, or access individual responses.

Product features:

  • Responses Tab in Forms – Admins can now view submissions directly within the platform, without needing to export.
  • Submission List View – Displays all responses for a selected form in a structured list.
  • Filtering Options – Filter responses by employee name and submission date.
  • Response Detail View – Click into an individual submission to see the full response.
  • CSV Export – Export the entire response list as a CSV file when needed for reporting or analysis.

Organisation Emails Settings Page UI Uplift

Description: We have revamped the UI of the Organisation Emails or Email Settings page. This UI uplift does not introduce any new functionality but brings fresh and consistent feel to this page. This new UI uplift will only be available to organisations who are opted in to the New Settings Look & Feel open beta.

Settings Uplift - Slice 3

Objective: Restructure of settings pages and uplift of Company Details and Rewards pages

Description: Through UX research and customer testing, we identified where users naturally expect to find certain settings and which naming conventions resonate most with them. Based on these insights, we restructured the consolidated settings page by:

  • Renaming several settings pages and groups for clearer, more intuitive wording
  • Relocating pages to settings groups that better reflect how customers think about them
  • Additionally, we’ve uplifted the Company Details and Rewards pages to a new format. The pages now match the look and feel of other settings pages, with an improved layout for a better user experience.

Updates made:

  • Settings pages relocated
  • Company Default Super Fund relocated to the Payroll group
  • Subscriptions & Billing relocated to the Security & Access Control group
  • Settings pages removed
  • The Simplified Payroll Settings Page has been removed from the consolidated settings page and will be decommissioned
  • Settings fields renamed
  • Worksafe Authority → Health & Safety Contacts in Primary Contacts
  • Phone (Optional) → Company Phone Number (Optional) in Company Details, with the help text removed
  • Use this suburb & state as default work location & public holiday calendar → Use this suburb and state as the default work location and public holiday calendar for new employees in Company Details; tooltip removed
  • Number of employees → Company Size in Company Details, with help text added
  • Company Details page updates
  • Added a banner to highlight why this page is important
  • Added a heading and description at the top of the form
  • Added help text under the Industry Category field
  • Updated logo supporting text for clarity, and adjusted text format and size to match the rest of the page
  • Rewards pages updates
  • Added a banner to highlight why this page is important
  • Added helpful information explaining how the Milestone Reward feature works
  • Updated the page layout to match other settings pages and improve user experience

Release Schedule: 05/09/2025 - Updates have been added to the existing open beta ‘New Settings Look & Feel’. Additionally, any new customers who joined from 15/05 onwards will automatically receive these updates.

Group Assignments in Worksites & Positions

What’s New: We’ve redesigned how admins assign employees to worksites and positions with a new assignment modal.

  • Assign by Group in one click – Add an entire Group at once instead of selecting people individually.
  • Auto-Assign toggle (instant sync) – When turned on, Group membership drives the assignment. Every
  • Group member is automatically assigned to the right worksite and position, and updates happen instantly as employees join or leave between Groups.
  • Flexible editing – Search within available/assigned employees, add or remove individuals (even those in a selected Group), and see a live count of who’s assigned.
  • Quick bulk actions – Use Select All / Unselect All to speed up manual changes.

Why It Matters

  • Save time with faster Group-level assignment.
  • Onboard automatically — new Group members immediately inherit the correct worksite and position details.
  • Reduce admin load — no more chasing manual updates when Groups change; everything can sync in real time.

How to Use It

  • Go to Worksites & Positions.
  • Open the Assign Employees modal under a position.
  • Select a Group (or individual employees).
  • Toggle Auto-Assign if you want assignments to follow Group membership automatically.
  • Review, edit, or bulk select/deselect as needed.
  • Click Save.

IT Ops and Security

Enhanced User Access Overview Dashboards on Payroll Web

Description: Updates have been made to the existing User Access and Admin Access pages within the Partner Dashboard to display additional information regarding users. This is done to improve visibility over user’s access and security posture. Additional information includes:

  • User’s Last Login timestamp
  • User’s 2FA Status based on methods set up and enabled
  • 2FA Methods a user has setup
  • Whether a user has enabled Passkeys or not

Similar updates have also been made within a Business’ Payroll Settings on the new Security Dashboard page. In addition, a business’ Two Factor Authentication Settings has been moved from the Manage Users page to the Security Dashboard page.

Coming soon: Quarterly in app reminders to perform user access reviews to ensure the right user have access to the business/brand/partner.

AI People Insights

Description: Employee data across Employment Hero is scattered across different modules, making it difficult for people managers to identify important signals and provide timely support, particularly around leave patterns, engagement, and compliance concerns. AI People Insights consolidates this data into a clear overview of their team, surfacing relevant, actionable insights to help managers offer meaningful support and guidance. The initial focus is on leave insights, highlighting patterns such as repeated absences, spikes in leave or behaviours that may require a check-in.

Where you’ll find insights:

  • Employees List
    • Managers can view all insights related to their reporting employees.
    • Each manager sees a summary view of insights (with filter options), as well as a detailed breakdown for each insight including: reasoning, suggested actions, the ability to provide feedback and a CTA to follow up directly in-platform.
    • Access is limited to data and employees the manager already has permission to view.
  • Employee Profile
    • Managers can drill into insights for a specific reporting employee.
    • The employee scorecard now includes AI People Insights.
    • Summary insights are surfaced on the employee profile, with more details available in the side panel.

Release plan: We’ll release to beta clients (targeting 7th July) before rolling this out to all clients around the 21st July, Beta clients: 3/7/25, 10% cohort: 8/8/25, 20% cohort: 22/8/25

Support Employee Requisitions and Onboarding Approvals in the New Workflows Engine

Objective: Our legacy “Workflows” functionality for Employee Requisition and Onboarding Approvals was developed years ago for specific customer needs, but now coexists alongside our modern Workflows engine. This creates confusion around which subscriptions have access to what, where to manage approvals and limits flexibility in automation. By consolidating these features into the new Workflows engine, we improve clarity, reduce duplication, and provide customers with greater flexibility in automating the employee lifecycle.

Description: Employers have more flexibility with managing their Employee Requisitions and Onboarding Approvals in the new Workflows, unlocking greater automation options. This update improves visibility, reduces confusion, and streamlines the employee lifecycle as part of Workforce Planning (Vacancies & Requisitions). The rollout will happen in three phases:

  • Phase 1: For all customers on Unlimited and Plus tiers, and for Platinum customers (excluding those with legacy data).
  • Phase 2: Migration of legacy data for Platinum customers into the new Workflows engine.
  • Phase 3: Deprecation of legacy Employee Requisitions and Onboarding Approvals for Premium customers, consolidating all workflow management into the new engine. It's also an upsell opportunity to Platinum/NextGen.

This phased approach ensures minimal disruption while giving customers the benefits of modern workflow automation.

AI Interview Scorecard

Objective: Integrate an AI assessment scorecard to allow recruiters to easily access AI-generated candidate evaluations within the ATS. 

  • Introduced a new Evaluations tab within the candidate profile to display AI interview assessment results. 
  • AI assessment scorecard to provide candidate insights based on automated video interviews.
  • Delivers faster and more objective evaluations, reducing time-to-hire and improving recruiter efficiency.
