Automations

Custom Forms Workflow Integration Slice 1: Approvals with Dynamic Approver

Release Date: 09/10/2025

Target Users: Global Forms and Workflow users (EU, Employment Plus and Platinum)

Description: Organisations have no way to enforce review or sign-off on submitted forms, leading to unverified requests and inconsistent decision-making. The absence of an integrated approval process creates compliance gaps, manual follow-ups, and no reliable audit trail for accountability.

Product features:

  • Form Submitted trigger – Automatically initiates an approval workflow when a selected custom form is submitted.
  • New Forms Condition - Select the specific form to be used in the workflow configuration
  • Single-level approval workflow – Supports one approver per workflow, managed through the existing Request Approval (V2) action.
  • Approver experience (Approvals tab) – Approvers can view, filter, and action submissions assigned to them (Approve or Decline with reason).
  • Submitter experience (My Submissions tab) – Submitters can track their form submission status (Pending, Approved, Declined) and view decline reasons.
  • Notification system – Sends email notifications to approvers for new requests, and to submitters upon approval or decline.

Custom Forms – Custom Security Settings (CSS)

Release Date: 08/10/25

Initiative: Custom Forms now supports Custom Security Settings (CSS), giving organisations fine-grained control over who can view, modify, or delete forms and form templates — without needing to grant full admin access. What’s in this release?

  • Added View / Modify / Delete CSS permissions for Custom Forms and Form Templates
  • Admins retain full “Use” access by default
  • Clear permission-based behaviour for all form actions (create, edit, publish, delete, archive, export, etc.)

Why this matters: Prevents overexposure of admin rights, reduces bottlenecks, and improves permission control for forms and form templates

Target Users: All customers using Custom Forms (Global: Platinum, E+, EU)

 

Datetime Localisation Governance

Objective: This is for establishing consistent global standards for displaying and processing dates and times across all Employment Hero products. Deliver a unified set of guidelines and guardrails that ensure all backend and frontend systems localise datetime information consistently, improving accuracy and user experience across regions and time zones.

Impact:

  • Developer Clarity: Clear engineering guardrails for handling datetime data, reducing ambiguity and rework.
  • Improved User Experience: End-users see datetimes that match their local conventions, improving trust and reducing confusion (e.g. avoiding mix-ups between MM/DD/YYYY and DD/MM/YYYY, using local conventions such as Canadian YYYY-MM-DD).
  • Future-proof Framework: Sets the foundation for reliable timezone handling as we expand to more markets and features.

Malaysia EPF Compliance & Data Integrity

Description: This release supports compliance updates affecting our EH Work Malaysian customers. We’ve implemented key changes to align with updated EPF (KWSP) regulations and to improve employee data capture for non-Malaysian workers - in line with Malaysian Government’s 1 October deadline (extended to 6 October). Specifically, we:

  • Added support for the new EPF contribution rate (2% employee + 2% employer) for eligible EPF members (post–Aug 1998), with the option to retain the legacy 11% employee rate.
  • Introduced Passport expiry date and an expanded Work pass type field in HR and Payroll profiles for non-Malaysian employees, meeting new employer record-keeping requirements.

HR Rostering and Timesheets

Rostering Management on EH Work for organisations using Work Sites and Positions

We’re excited to announce that Roster Management on EH Work is now available to all regions for organisations using Work Sites and Positions In addition, frontline managers can now copy multiple shifts to the next day, making shift management faster and easier.

Release Schedule: Android: by 10th Oct, iOS: by 12th Oct

Note: if the users update their app, they will already have access to rostering management but may not have access to copy feature until the full mobile roll out.

Empty Shifts

We’ve made a small but powerful improvement to Roster Management.
Roster managers can now create empty (placeholder) shifts without needing to enable the Shift Bidding setting. Previously, you had to turn on Shift Bidding just to create placeholder shifts, this update makes the process simpler and faster.

IT Ops and Security

Aligning MFA Methods across All Payroll Brands, including Partners

Description: We previously removed the ability for users on internal branded payroll (i.e. Employment Hero, Keypay and Employment Innovations) to receive 2FA codes via Email, however we excluded partner brands as their users had a different support process. We are now rolling out the same changes to partner brands. Partner brands will have a different account recovery process.

Key Dates: 8 October 2025 (Display message for those verifying 2FA via email of upcoming removal), 5 November 2025 (Remove Email as an option when verifying 2FA), Partner Account Recovery flow made available

Target Users: All web users on non EH/EI/Keypay branded payroll.

 

Enhanced User Access Overview Dashboards on Payroll Web

Quarterly in-app banner reminders to perform user access reviews has been released! Business Admins, Brand Level Users, Partner level users will be reminded to do regular user access review to ensure only authorised users have access to their payroll system. The reminder banner will be triggered every quarterly: February, May, August, and November.

Target Users: Payroll Business Managers/Full Access Users, Users with access to Partner Dashboard

 

Mobile Quick Log Out

Description: To address user frustrations about resetting passcodes at each login, we now offer two logout options:

  • Quick Log Out - Ends the user session but retains settings for a quick login without passcode resets.
  • Full Log Out - Clears all session data and user settings. On next login, users will complete the full sign-in process, including authentication and passcode setup.

Target Users: All EH Work users

 

Prevent the Use of Breached Passwords for User Accounts

Description: Enhanced Password Security. In August, we updated the HR Web App to prevent users from creating or updating passwords exposed in known data breaches. Previously, users could still set these passwords in the EH Work App, but that is no longer possible. Now, when you create or update your password, if it has been exposed in a known data breach, you will receive an immediate notification and be asked to provide a new, unique password. This applies to the following scenarios:

  • Security Settings → Change Account Password
  • New User → Setting up password for the first time

Allow Business Portal System Users to be Visible and Selectable as Organisation Owners

Description: As some partners have their own ways of working with clients, a popular request has been to allow System Users added via the Business Account Portal (i.e. partners) to be visible and selectable as organisation owners of business account organisations. This release allows Business Account admin users to select a checkbox to be visible and selectable as an organisation owner, similar to the existing worksafe authority and authorising signatory visibility checkboxes.

Pre-Payroll (Leave and Expenses)

Automated Receipt Scanning for Expense Submissions

Objective: Eliminate manual data entry by extracting expense details directly from receipt images across mobile and web platforms. Deploy OCR-powered receipt scanning that automatically extracts and pre-populates 4 key expense fields (Date of Purchase, Amount Paid, Tax, Supplier) from the first uploaded receipt image, reducing manual data entry.

Impact:

  • Instant Data Extraction: Upload receipt → 4 fields auto-filled (Date of purchase, Amount, Tax, Supplier)
  • Camera-to-Expense: Mobile users can photograph receipt and system will fill-in the details after capturing the receipt
  • Reduced Manual Work: Only 2 fields require manual selection (Category, Cost Centre)
  • Full Control: All auto-extracted data is editable before submission
  • No Risk: Automatic fallback to manual entry if scanning fails

Time and Attendance

CSV Import for Worksites & Positions

What’s new: Admins can now bulk create and update Worksites and Positions, and assign Employees or Teams/Groups to them through a simple CSV Import flow. The import wizard guides you through preparing your file, mapping columns, validating data, and handling errors - so large-scale setup is faster and more accurate. Why it matters:

  • Save hours by creating multiple worksites and positions in one upload.
  • Onboard faster by assigning employees and teams at the same time.
  • Stay accurate with built-in validation, error review, and re-upload options.

How to use it:

  • Go to Worksites & Positions.
  • Click Import CSV.
  • Download the Template CSV and fill in your Worksites, Positions, and assignments (Employees or Teams/Groups).
  • Upload your CSV.
  • Map columns if headers don’t auto-match.
  • Review validation results: fix errors, re-upload, or skip invalid rows.
  • On success, new worksites, positions, and assignments appear instantly in Worksites & Positions and Employee Profiles.
