Custom Forms Workflow Integration Slice 1.5: Form Approval Templates

Supports: Custom Forms Workflow Integration Slice 1: Approvals with Dynamic Approver. What’s in this release? Two new workflow templates are now available in the Workflow Template Hub → Forms:
Request approval for specific forms – Trigger approvals only for selected forms
Request approval for all forms – Automatically routes all form submissions for approval

Why this matters: These templates make it easy for orgs to add approvals to any custom form — no setup complexity required.

Custom Forms Workflow Integration Slice 2: Multi-Layer & Parallel Approvals

Release Date: 13/10/2025

Target Users: Global Forms and Workflow users (EU, Employment Plus and Platinum)

Description: Current custom form approvals support only one approver, preventing organisations from setting up multi-layer or parallel approval chains needed for complex processes. This limitation leads to compliance gaps, manual follow-ups, and poor visibility into multi-stage approval progress for both employees and approvers.

Product features:

  • Multi-layer (sequential) approvals – configure multiple approval layers that progress step by step once the previous layer is approved.
  • Parallel approvals within a layer – assign multiple approvers to review simultaneously, with options for “Any approver can approve” or “All approvers must approve.”
  • Backup approvers – designate alternate approvers to take action if the primary approver is unavailable.
    Flexible approver assignment – select approvers by employee, team, or dynamic role (e.g., submitter’s manager, secondary manager, team leader).
  • Enhanced visibility – display submission progress through each approval stage for both submitters and approvers.
  • Comprehensive audit trail – record all approval actions, timestamps, and approver identities for compliance tracking.
  • Notifications and alerts – send notifications to approvers and submitters for approvals, declines, and final outcomes.

 

Workflow Template Hub – Release 3 - 38 New Templates (Public)

Release Date: 13/10/25

Initiative: We’ve released a new suite of 38 workflow templates to the Workflow Template Hub, bringing our total templates up to 72 :wow-sparkle: — built using the new Template Builder (Releases 1 & 2). This marks the next customer-facing milestone where org admins and CSS granted users can instantly use both One-Click and Quick Setup templates to automate everyday HR processes. The templates are built to showcase every single piece of workflows functionality possible at the moment.

What’s in this release?

  • 38 new workflow templates across modules including Onboarding, Offboarding, Employee File Change, Leave, and Expenses.
  • Mix of One-Click and Quick Setup templates, supporting both instant and configurable automation.
  • Built-in analytics tracking in Sisense — view how many workflows created from each template are published, drafted, or deleted to measure engagement and iterate effectively.
  • Templates follow enforced card standards (name, description, 3 key benefits) for a consistent experience.

Uplift Send Email Notification Action on Workflows

The Problem: Email notifications are the backbone of many HR workflows.But until now, our Send Email Notification action was holding teams back. Users were stuck with:

  • Limited recipient options, restricted to internal platform users only.
  • Plain-text-only messages, lacking hyperlinks or attachments.
  • Tedious workarounds, like duplicating actions just to notify multiple people.

The Solution: We’ve delivered a major uplift that transforms email notifications into a truly dynamic and scalable communication tool. Here's what’s new:

  • External Recipients Unlocked: Now, notify anyone — even external vendors like payroll providers or IT partners — with just an email address. No more manual forwarding or platform workarounds.
  • Rich Text Emails with Hyperlinks: You can now include clickable links in your messages — guiding employees directly to policies, portals, or onboarding resources with a professional look.
  • Smarter Subject Lines: Use dynamic variables in the email subject, making each message personalized, clear, and actionable at a glance.
  • Multi-Recipient Support: Stop duplicating actions — simply select multiple recipients in one go, whether it's roles, teams, specific users, or external contacts.

Settings Uplift

Description: The 'New Settings Look & Feel' and 'Teams to Groups' open betas have been rolled out to all customers as the default experience. For a limited time, customers can switch back to the legacy settings by selecting the 'New Settings Look & Feel (Opt Out)' open beta option. This opt-out will only be available for the next month. After that, all customers will remain on the new settings experience, and the legacy version will no longer be accessible.

HR Rostering and Timesheets

Mission - Hours Saved

What's New: We are excited to bring the power of the roster templates tool to the Works Sites and Positions roster. This tool dramatically reduces the administrative burden on Roster Managers to create shifts one by one. The templates feature tool will respect Permissions, Works Site filters and roster views.

Note: The feature is not supported in month view as this can cause to scheduling and shift compliance issues in cases where Roster Managers are attempting to load 31 days of shifts into a 30 day month.

Print Roster

Print roster is now available for organisations using Work Site and Position-based rostering! :printer:
Managers can now easily generate and print offline or physical copies of their rosters for staff visibility, just like before with cost centre rostering but better.

What’s Improved: The new Print Roster feature comes with powerful enhancements to make printing flexible and efficient:

  • Date range matches your current roster view but remains editable.
  • Select specific Work Sites before printing.
  • Choose whether to show empty or open shifts, costs, and much more.

Why It Matters: This update makes it easy to share rosters with on-site teams who may not have digital access, keeping everyone informed and aligned, whether online or offline.

Reuse Last Submitted Timesheet

We’ve made timesheet submission faster and easier! Employees can now reuse their last submitted timesheet with just one tap.

What this means: No more re-entering the same start/end times every day, fewer mistakes, and quicker. If something changes, employees can still edit before submitting. But for repeat schedules, it’s now as easy as tap → review → submit.

IT Ops and Security

Improve User Experience of Enabling 2FA on Payroll Web

Description: This release aims to improve the user experience with enabling MFA and address security recommendation for any modification or setup of MFA to require re-authentication with the user's current password to confirm their intent, even if the session is active. Previously, users needed to log out to complete process to enable 2FA. Now, password verification is required to enable 2FA from second login onwards. Users will not need to log out to complete 2FA enablement, which aligns UX to that of HR

Uplift the Company Feed to Improve Visibility and Engagement

Description: We’ve made major improvements to the Company Feed experience to help employees stay connected, celebrate milestones, and engage with updates from across the business.

  • Viewing Posts
    • New full page view to expand the company feed
    • Search and filter capabilities for posts.
    • Lays the foundations for advanced functionality, such as future chat and engagement integrations.
    • New dashboard widget UI - Browse multiple posts at once in a clean, modern layout.
    • New Action Center - react, comment, or share directly from the feed.
    • New side-panel view - open a specific post to see attachments and comments without leaving the feed.
    • Posts can now include: Multiple images, Videos, URLs
  • Creating Posts
    • New post type: Regular Post for sharing updates separately from shoutouts/announcements.
    • Note: Regular post has the same permission as shoutouts.
    • Enhanced editor: Rich-text formatting with emojis, hyperlinks, and styling options. Upload multiple attachments, including videos.
  • Announcements
    • All employees are now notified when a new announcement is published.
    • Announcements can require read receipts to increase visibility and capture completion.
    • Comments can be disabled when needed.
    • Announcements requiring acknowledgement will appear at the top of the feed and directly on the Work dashboard of the mobile app until marked as read.
  • Birthdays and Anniversaries
    • All employees can now celebrate all other colleagues for their birthdays and anniversaries!
    • Employees can opt out of having their birthday displayed on their profile in their employee file.
  • Still to Come
    • Advanced posting controls: limit posts by Groups or Locations.
    • Enhanced CSS permissions: fine-grained control over who can post announcements or other post types, and where they can post.
    • "Post insights" to allow admins/authors to view who has/hasn't reacted, commented and "marked as read".
