Search and filter candidates for a job

Available for the following plans: Employment Unlimited
Available for the following User Access level: Admin

The enhanced search and filtering tools in your Applicant Tracking System (ATS) help you quickly identify the right candidates for your roles. You can search across multiple profile fields and apply filters to narrow your candidate list based on matching scores and screening question responses.

How to search for candidates

Use the search bar at the top of your candidate list to find applicants by various criteria. The search works across multiple fields simultaneously, making it easy to locate specific candidates.

Access the search feature
  1. Click the Recruitment menu.
  2. Click the Recruitment submenu.
  3. Click on the job you want to fill.
  4. Locate the search bar in the top right-hand corner of the candidate list.
What you can search and how it works

The search bar looks across multiple candidate profile fields including name, email address, skills, certifications, education (institution name and degree type), and work history (company names, job titles, and industries).

Key features of the search:

  • Partial matching - You don't need to type full words. For example, searching "admin" will find candidates with "Administrator" or "Administration" in their profile.
  • Single term only - Enter one search term at a time. Boolean operators (AND, OR, NOT) are not currently supported.
  • Broad results - Search looks across all fields, so you may see unexpected matches. For example, "mas" might match both "Mason" (name) and "Master of Business" (education).
  • Real-time results - Results appear as you type, updating your candidate list immediately.

Example searches

  • Search "Responsible Service of Alcohol" to find candidates with this certification
  • Search "marketing" to find candidates with marketing skills, experience, or education
  • Search a company name like "Telstra" to find candidates who've worked there

How to filter candidates

Filters work alongside search to help you refine your candidate list further. You can apply multiple filters at once, and they remain active as you switch between Stage View and Board View.

Filter by matching score
  1. Locate the matching score filter in your candidate list view.
  2. Use the minimum score slider to set the lowest match score you want to see.
  3. Use the maximum score slider to set the highest match score you want to see.
  4. The candidate list will update automatically to show only candidates within your selected range.

Tip: This is particularly useful when you want to focus on candidates in a specific match range, such as reviewing "good but not perfect" candidates (e.g., scores between 60-80%).

Filter by screening question responses

You can filter candidates based on their answers to your job's screening questions. This helps you quickly identify applicants who meet your essential criteria.

  1. Select the screening question filter option.
  2. Choose which screening question you want to filter by.
  3. Select the answer(s) you're looking for.
  4. Your candidate list will update to show only candidates who gave the selected answer.

Important limitations

  • Multiple-choice only - You can only filter by multiple-choice screening questions. Free-text questions cannot be filtered.
  • Unanswered questions - Candidates who didn't answer a screening question will be filtered out when you apply a filter for that question.
  • Auto-disqualified candidates - These are already removed from your candidate list and won't appear in filtered results.

Best practice: Consider using multiple-choice screening questions rather than free-text questions when you need to filter candidates by specific criteria.

Combining filters

You can apply both matching score filters and screening question filters at the same time. For example, you might filter for candidates with a match score above 70% who answered "Yes" to "Do you have a current driver's licence?" while also searching for "sales" experience. This combination helps you quickly identify your most promising candidates.

Tips for best results
  • Start broad, then narrow - Begin with a simple search term, then add filters to refine your results.
  • Try variations - If you don't find what you're looking for, try alternative terms (e.g., "uni" instead of "university").
  • Check the whole profile - Remember that search doesn't show you why a candidate matched. If you get unexpected results, review the candidate's full profile to understand the match.
  • Clear filters between searches - If you're not getting expected results, check that you don't have filters still applied from a previous search. Look for a "Clear filters" or "Reset" option in your filtering interface.
  • Encourage complete applications - Remind candidates to complete all screening questions to ensure they appear in filtered results.

Troubleshooting

I'm having issues with search results

If you can't find a candidate you know applied, check whether you have filters applied that might be excluding them. Clear all filters and try your search again. Also verify that the information you're searching for is actually included in the candidate's profile in a structured field.

If you're seeing unexpected search results, remember that search looks across multiple fields including name, email, skills, education, and work history. A term like "mas" might match "Mason" (name), "Master of Arts" (education), or "Massage Therapy" (skill). Click through to view the candidate's full profile to see where the match occurred, and consider using more specific search terms to narrow your results.

Candidates are missing when I filter by screening questions

This is expected behaviour. When you apply a screening question filter, only candidates who answered that specific question will appear in results. Candidates who skipped the question or didn't complete the screening questions section will be filtered out. You may want to follow up with these candidates to encourage them to complete all screening questions.

What are the current search and filter limitations?

Currently, search supports single terms only. Boolean operators like AND, OR, and NOT are not supported. To search using multiple criteria, try using filters in combination with your search term.

For filtering, only multiple-choice screening questions can be filtered. Free-text questions allow candidates to provide varied responses, making it difficult to filter consistently. If you need to filter by specific criteria, consider using multiple-choice questions during job creation.

Frequently asked questions

How do filters work across different views?

All filters persist as you navigate between different views and candidate stages, ensuring consistent filtering across your entire workflow. However, you cannot currently save filter combinations. You'll need to reapply your filters each time you access the candidate list, though filters do remain active during your current session.

Will I be able to see why candidates matched my search in the future?

Yes, visible match indicators are planned for a future release. This enhancement will show tags or highlights indicating which profile fields matched your search term, making it easier to understand why candidates appear in your results.
