Our Learning Workflows feature allows organisations to assign Go1 courses automatically to employees. This gets rid of the repetitive and manual task of assigning learning content at scale, and when the need arises.
Learning Workflows follow a "when-if-then" sequence. To learn more about this, please refer to The When-If-Then sequence tab in the Further information section of this article.
Getting started
Add a learning workflow
- Click the Workflows menu in the left-side navigation bar.
- Click the Create New button in the upper-right area of your screen.
- In the pop-up, click the dropdown button and select the Onboarding template.
- Click the Create New button.
- Click the pencil icon (edit button) in the first tile to edit the name of the workflow.
- In the Triggers & Conditions tile, click the Trigger here text below "WHEN this happens."
- For the WHEN field, choose from the following:
- Answer the fields for When will this trigger event start?
- Click the Save button.
- Click the Condition here text below "IF these conditions are met."
- Choose the conditions you need.
- Click the Save button.
- Click the Actions here text below "THEN do this."
- For the THEN field, it will be "Assign Learning."
- In the Learning Course field, select the learning content you want to assign. You can:
- Select multiple learning content.
- Click Read More for each course's details.
- In the Recipients field, choose who needs to be assigned the learning content.
- Click the Save button to close the side panel.
- Around the upper-right corner of your screen, you can click one of these two:
- Save Flow: This will save your changes but will not make the workflow live.
- Save Flow & Publish: Publishing will make your workflow live, meaning the Go1 courses you chose will be assigned to the employees you selected when the trigger is met.
Data management
Publish a learning workflow
- Click the Workflows menu in the left-side navigation bar.
- Click the Manage Workflows tab.
- Click Onboarding in the categories listed on the left-hand side.
- Click the ellipsis button (three dots) for the tile of the workflow you need.
- Click Publish.
- A confirmation pop-up will appear. Publishing will make your workflow live, meaning the Go1 courses you chose will be assigned to the employees you selected when the trigger is met.
- Click the Publish button.
Edit a learning workflow
You cannot edit an active or published learning workflow. If you need to make changes, you must first unpublish the workflow.
- Click the Workflows menu in the left-side navigation bar.
- Click the Manage Workflows tab.
- Click Onboarding in the categories listed on the left-hand side.
- Click the ellipsis button (three dots) for the tile of the workflow you need.
- Click Edit.
- Make the necessary changes to the learning workflow.
- Around the upper-right corner of your screen, you can click one of these two:
- Save Flow: This will save your changes but will not make the workflow live.
- Save Flow & Publish: Publishing will make your workflow live, meaning the Go1 courses you chose will be assigned to the employees you selected when the trigger is met.
Removing data
Unpublish a learning workflow
- Click the Workflows menu in the left-side navigation bar.
- Click the Manage Workflows tab.
- Click Onboarding in the categories listed on the left-hand side.
- Click the ellipsis button (three dots) for the tile of the workflow you need.
- Click Unpublish.
- A confirmation pop-up will appear. Please note that once you unpublish a learning workflow, it will immediately stop assigning the courses you selected.
- Click the Unpublish button.
Delete a learning workflow
You cannot delete an active or published learning workflow. If you need to delete it, you must first unpublish the workflow.
- Click the Workflows menu in the left-side navigation bar.
- Click the Manage Workflows tab.
- Click Onboarding in the categories listed on the left-hand side.
- Click the ellipsis button (three dots) for the tile of the workflow you need.
- Click Delete.
- A confirmation pop-up will appear. Please note that once you delete a learning workflow, you will not be able to restore it.
- Click the Delete button.
Further information
The When-If-Then sequences of workflows can only follow a particular flow.

When this happens -> If this condition is met -> Then do this.
- "When" is the trigger that will prompt the workflow.
- "If" is the condition that has to be met.
- "Then" is the action that the platform will take.
No, the When-If-Then sequence cannot be changed.
An IF field must always come before a THEN field.
Examples:

| WHEN - IF - THEN - IF - THEN | No | IF field comes after the first THEN field. |
You cannot perform a THEN action and then have the workflow re-evaluate new IF conditions as part of the same workflow run. You will need to split these into separate workflows.
