⚠️Work Sites & Positions Rostering: This version of rostering uses work sites and employee positions instead of cost centres. It's currently available to customers who joined Employment Hero recently. Existing customers will be migrated to this system over the coming months.
The Work Sites & Positions feature allows you to set up a more intuitive rostering structure for your organisation. You can create work sites that represent physical locations where work happens, add positions that define specific roles and responsibilities, and manage the relationships between employees, positions, and cost centres. This feature also allows you to customise your work week settings to align with your payroll cycle.
Managing Work Sites & Positions
- Log into your Employment Hero HR platform.
- Click the Settings menu.
- Under General Settings, click Work Sites & Positions.
- Click + Work Site, then New work site.
- Fill in the following details:
- Name: Enter the work site name
- Address: Enter the physical address
- Time Zone: Select the appropriate timezone (will be deprecated soon)

Click the + Add default shift details button, then enter the following details:
- Default shift start time.
- Default shift end time.
- Break time start and end times.
The default shift details you set up here will automatically populate any shifts you create for this work site in Rostering Management.
- Click Save.
- Log into your Employment Hero HR platform.
- Click the Settings menu.
- Under General Settings, click Work Sites & Positions.
- Select the work site you want to add positions to, or create a new work site.
- In the positions section, type a new position name in the field provided.
- Click the + Add Position button.
- Assign the following for each position:
- Cost Centre: Select the appropriate cost centre for financial tracking
- Available Workers: Choose which employees can be assigned to this position
- Click + Add another position to include more positions for this work site.
- Click Save when finished.
- Log into your Employment Hero HR platform.
- Click the Settings menu.
- Under General Settings, click Work Sites & Positions.
- Use the + Expand toggle next to the work site to view its positions.
- Click the ... next to a position, then click Edit next to the position you want to modify.
- Make the required changes to position details, cost centre, or eligible employees.
- Click Save.
- Log into your Employment Hero HR platform.
- Click the Settings menu.
- Under General Settings, click Work Sites & Positions.
- Use the + Expand toggle next to the work site to view its positions.
- Click the ... next to a position, then click Disable next to the position you want to disable.
- Confirm the action.
Note: Disabling preserves historical data while preventing new assignments. This is the recommended approach rather than deleting.
- Log into your Employment Hero HR platform.
- Click the Settings menu.
- Under General Settings, click Work Sites & Positions.
- Use the + Expand toggle next to the work site to view its positions.
- Click the ... next to a position, then click Delete next to the position you want to remove.
- Click Delete to confirm.
Note: You can only delete a position if it is not linked to past timesheets or shifts.
- Log into your Employment Hero HR platform.
- Click the Settings menu.
- Under General Settings subheading, click Work Sites & Positions.
- Click on the three dots beside the work site you wish to add a team to.
- Click on Edit.
- Click on Assign employees.
- Select a Team (or individual employees).
- Toggle Auto-Assign if you want assignments to follow Team membership automatically.
- Review, edit, or bulk select/deselect as needed.
- Click Save.
Filtering and Viewing
- Log into your Employment Hero HR platform.
- Click the Settings menu.
- Under General Settings, click Work Sites & Positions.
- Use the filter options to search by:
- Work Site: Search for specific work sites
- Position: Find particular positions across all work sites
- Cost Centre: View all positions assigned to a specific cost centre
- Enable "Show disabled" to see archived work sites and positions.
Tip: Disabling a Work Site will disable all Positions under it. Re-enabling the Work Site won't automatically re-enable Positions—you must do this manually for each position.
Further information
Work Site
A physical or geographical location where employees perform their duties. This could be an office, factory, branch, or any designated place of work. Work sites make it easy to direct employees to an actual work venue when rostering and allow us to build features like Geofencing and Weather integration.
Examples:
- Coogee bay hotel: Depending on the size of the venue and number of staff, users could choose for the worksite to just be the Hotel
- Garden restaurant: If Coogee Bay Hotel has multiple restaurants, users could name each worksite after a restaurant
- Garden restaurant - FOH: Lowest level of granularity allows complete flexibility over rostering
Position
Positions are defined by specific duties, responsibilities, and required skills. Each position is linked to a worksite and has actual associations with the employee file. Unlike the previous Roster Roles (which were just tags), Positions are tied to employees - when you create a shift for an employee, only their assigned positions can be selected.
Examples:
- Bartender: A position in the Front of House area responsible for preparing and serving drinks
- Runner: A separate position in both Front of House and Back of House for serving customers and assisting in food preparation
Cost Centre
A unit within an organisation where costs are tracked and managed for budgeting, financial analysis, and cost control purposes. Cost centres are linked to positions, and multiple positions can share the same cost centre depending on how your organisation wants to do financial reporting.
Examples:
- Beverage Service Cost Centre (BEV01): Could be associated with multiple Bartender positions across different work sites
- Garden restaurant (GARD12): Could be associated with all positions at Garden Restaurant (Bartender, Server, Chef)
