Add a system access date for new employees

Available for the following EmploymentOS plans: Employment Lite, Employment Plus, Employment Unlimited
Available for the following HR Classic plans: Free, Standard, Premium, Platinum
Available for the following user access levels: Admin

In the employee file, admin users must set a system access date for onboarding employees. This date (on or before the employee’s official start date) determines when they gain full access to Employment Hero. The system access date is a mandatory field.

Until the system access date is reached, the employee will have limited access. Access is restricted to their own employee file and a few basic features. Full employee access is automatically granted on the system access date.

Further information

To what date can I set the system access date?

The system access date can be set up until the employee's start date.

For example: if you add the new employee's start date as 5 August, 2025, you will have to set the system access date on or before 5 August, 2025. Then from 5 August, 2025, the new employee will become a full-access user in your Employment Hero account.

What can new employees access in Employment Hero prior to their start date?
If a new employee has been given a system access date in which to access their Employment Hero account prior to their start date, they will be able to access the following:
  • The Employment records, pay and compensation and documents sections in the employee file.
  • Induction content.
  • Company policies.
  • Tasks.
