Import worksites and positions via CSV

Available for all Employment Hero plans
Requires admin access to Work Sites & Positions

The CSV import feature allows you to add or update multiple worksites and positions in bulk, streamlining the setup process for organisations with multiple locations and reducing manual data entry.

What You'll Need:

  • Admin access to Employment Hero
  • A CSV file with your worksite and position data
  • Maximum file size: 25MB (CSV only)

Getting started

Importing worksites and positions via CSV
  1. On the main menu, click Settings.
  2. Click Work Sites & Positions.
  3. Click the CSV Import button in the top right corner.

  4. The import modal will open showing the preparation and upload steps.
  5. Click Download under "Update Worksite and Position Details" to get the CSV template.
  6. Save the CSV template to your computer and use this template to format your data correctly.

    Important

    The template includes the correct column headers for your region. Based on the template structure, your CSV should include: Worksite names, Addresses, Position titles, Cost centres, Teams (optional), and Employees (optional).

  7. In the upload area, either drag and drop your completed file or click Choose File to select it.
  8. A confirmation dialog will appear asking if you want to import the file to your organisation.
  9. Click Yes to proceed to the column mapping step.
  10. Review the automatic mapping suggestions between your CSV columns and the system fields.
  11. For any unmapped columns, use the dropdown menus to select the correct field.
  12. Click Continue when mapping is complete.

  13. Handle the import results:

    If the import is successful: You'll be redirected back to the Work Sites & Positions page and your imported data will appear in the main table.
    If there are errors: You'll see a list of specific errors for each problematic row. You can download a file showing the errors and choose to either fix the errors and re-upload, or proceed with only the valid rows.
  14. Verify your import by checking the Work Sites & Positions page to confirm your data imported correctly. Use the filters to locate specific entries if needed.
