Automations

Custom Forms Uplift Slice 1 - Custom Templates

Release Date: 11/08/2025

Target Users: Global Forms users (EU, Employment Plus and Platinum)
Description: Admins have no efficient way to save, manage, and reuse form structures, leading to repetitive rebuilds, high abandonment rates, and reliance on external tools. The existing form creation flow lacks a dedicated template management system, slowing down creation and reducing consistency across organisational forms.

Product features:

  • Save Form as Template – Allow admins to save any form as a reusable template during creation or editing.
  • Templates Tab – Dedicated library to view, manage, and reuse saved templates.
  • Use Template to Create Form – Start a new form pre-filled from a selected template.
  • Duplicate Existing Forms – Quickly copy any historical form or template into a new draft.
  • Edit or Delete Templates – Update or permanently remove saved templates.

Core HR

Custom Work Hours by Pay Periods

Description: We’ve introduced a new setting to assist with multi-week work patterns to align HR’s rotation logic with Payroll’s pay periods. This reduces manual reconciliation, improves accuracy and makes complex rosters easier to manage. 

  • New org-level configuration to anchor “Week 1 / Week 2” rotation to the assigned Pay Schedule’s pay period start date.
  • Added preview in settings to show date ranges for Week 1 and Week 2 before saving changes.
  • Effective date option to schedule changes to advanced work patterns for the future.
  • Banner warning when changing the rotation basis to highlight potential mismatches with payroll settings.
  • Bulk import enhancements to specify which week is being updated and validate data integrity.
  • Updated APIs and backend logic to support Pay Schedule–based rotation and effective dating.
  • Payroll integration to fetch Pay Schedule data and ensure HR and Payroll stay in sync.

Note: At this stage, this feature is being rolled out on private beta for a single customer

Global Benefits - Perks - EWA

Add Benefits Management Trigger to Workflow Feature

Description: Admins can now set up flows to auto create a task, send email notification, approval/reject request whenever an employee is assigned/unassigned/ benefits data is updated for the employee in benefits management. For example, a piece of key feedback we received was orgs wanting email notifications to be sent to payroll admins when changes are made to an employee’s benefit.

IT Ops and Security

Minor Update to Login Alerts on Payroll

Description: We have updated the email copy that users receive when their account has been logged in from a new IP address to now include geolocation details. This information improves user understanding of where the login is from as it is more recognisable compared to an IP address.

Suspicious Login Alert - Impossible Travel Detection on Payroll Web

In order to protect users without 2FA from credential stuffing attacks, when a login from a geolocation is detected as impossible travel, they will be required to enter in a verification code sent to their email to complete their login. Impossible Travel is a type of location-based anomaly detection that occurs when one user account performs actions in multiple geographical locations in a timeframe that's impossible to achieve with normal physical travel.

Update to 2FA Verification Flow for SMS Users on Payroll Web

Description: Whilst we have removed Email as a 2FA method on Payroll Web, users who only have SMS set up as their 2FA method are still presented with the method selection screen even when they do not have any other method available for selection. To improve this user experience, we have updated the 2FA verification flow during login so that for users with only SMS setup as their 2FA method, they get presented with the code input screen for SMS 2FA immediately.

Coming soon: applying the same update updating all other 2FA verification flows when a user is logged.

Description: Migrated the Sickness Report to the new format defined by Core HR, which improves usability and reduces friction, ensuring a consistent and efficient reporting experience. This includes consolidation of filters, updated terminology, revised table and consistent naming of exports.

SmartMatch Activity Visibility and Impact

Description: Increase awareness of SmartMatch’s behind-the-scenes value by enhancing activity visibility and impact. Implement status widgets, clear AI-candidate badges, improved job ad indicators with tooltips, plus a dashboard summary highlighting SmartMatch’s time saved.

Objective: We’ve introduced features that surface SmartMatch’s activity, making its contributions visible across the Hiring Free plan. Previously, much of SmartMatch’s work happened behind the scenes, leaving users unclear about its value and impact. With this update:

  • The SmartMatch widget on each job’s Kanban board shows how many candidates have been analyzed, relevant candidates matched, invitations sent, and top candidates who applied via SmartMatch invitations.
  • The dashboard summary card displays weekly data on candidates matched across jobs, invitations sent, candidates evaluated, top matches found, and estimated time saved by SmartMatch. If SmartMatch hasn’t been active this week, it will show all-time data.

SmartMatch sourced candidates now have a sparkles icon to easily spot them at every hiring stage. Job ad statuses “Pending” and “Posted” are displayed with helpful tooltip, and once posted, they link directly to the job ad.

Time and Attendance

Work Site Permissions in Custom Security Settings

Description: What's new?

  1. Assign CSS permissions at the Work Site level.
  2. Limit access to rosters and timesheets for only employees assigned to those sites.
  3. Applies to Work Sites & Positions page, Rostering, Rostering Budget, Timesheets & Timesheet Costs.
  4. Quick setup through Settings → Security & Access Control.

Why it matters: It reduces unnecessary access while keeping information secure and keeps manager views clean and relevant.

How to use it:

  • Go to Settings → Security & Access Control.
  • Create or edit a security group.
  • Under Employee Access, choose Work Sites and select the sites.
  • Assign module permissions and users to the group
     

With this change, managers will only see and manage rosters/timesheets for their assigned sites, making permissions more precise and workflows more efficient

Default Shift Details for Worksites

What’s new: Set the default shift start time, end time, and break details for each Worksite. When creating a shift in Rostering Management, these details will auto-populate.

Why it matters: Saves time by reducing repetitive manual entry when creating shifts, and ensures consistency in shift details across the roster.

How to use it:

  • Go to Worksites & Positions.
  • Select a worksite.
  • Set the default shift start time, end time, and break details.
  • Create a shift in Rostering Management - the default details will appear automatically.
  • Adjust as needed for specific shifts.

With this change, managers can create rosters faster, maintain consistency, and reduce the risk of manual entry errors.
