Automations

Compliance Workflows – Policy Issued Action (Slice 1)

Released: 12 Nov 2025

Description: We’ve launched the first step in automating policy compliance — the “Issue Policy” workflow action. HR can now automatically assign active policies (e.g. Code of Conduct, WHS) to new hires as soon as onboarding begins.

What’s New:

  • New Issue Policy action in the Workflow Editor for the onboarding module (will become a global action across all modules soon).
  • For the employee related to the workflow trigger event (e.g. employee record created or employee completes onboarding), the selected policies are automatically assigned to the user..
  • Employees are also added to the policy-sharing list in policy management.
  • Existing policy logic applies (e.g. for notifications/reminders and audit) after assignment, like normal.

Why It Matters: Removes a repetitive HR admin task — manually issuing policies — ensuring every new hire receives and can acknowledge mandatory documents instantly. This helps us achieve our OKR of time saved by automating policy assignment.

Automate Employee & Independent Contractor Codes

Objective: To reduce manual entry, maintain sequential and consistent identifiers for employees and independent contractors, and streamline processes.

Description: Automation for Employee and Independent Contractor codes, surfaced in onboarding and quick add processes

Key features:

  • New field added: Independent Contractor Code field added to contractor profiles.
  • Optional by default: Codes remain optional and only become mandatory if enabled via the People Controls setting page.
  • Automated generation: Codes can now be automatically generated for onboarding and quick add processes only.
  • Sequential numbering: Codes generate sequentially with an optional prefix (up to 6 characters) and configurable starting number.
  • Separate sequences: Employee and Independent Contractor codes operate independently, each maintaining its own numbering sequence.
  • Manual edits supported: Admins can manually edit codes without affecting future numbering.
  • Duplicate code warning: Entering a duplicate code via onboarding, quick add, or directly in a profile triggers a warning, but does not block saving or progression.
  • Sync to payroll: Independent contractor codes will follow the same logic as the employee code field and sync to the External ID field in EH Payroll.

Display Contract Type and Contract End Date in Employment Details

Objective: Improve visibility of employee contract information by showing Contract Type and Contract End Date in the Employment Details section, reducing the need to open Employment History.

Description: Previously, while HR admins could record a Contract Type (Permanent or Fixed Term) and End Date within the Employment History form, this information was not visible in the Employment Details section of the employee file. This release makes that information visible, providing clearer contract visibility and reducing the need to navigate into Employment History. Although this enhancement aligns with the Heroforce initiative, it has been made available to all customers for consistency and broader usability.

Key Features:

  • Adds Contract Type and Contract End Date to the Employment Details section.
  • Pulls data from the most recent Employment History record.
  • Displays End Date only for Fixed Term contracts.
  • No change to existing validation or data logic.

Support Benefits in Offer Letter

Description: Extending on the Offer Letter functionality, users now have the ability to add Benefits to their Offer letters. When creating a new offer letter, a location must be selected to then display the relevant benefits available to that location. A new Offer Letter Benefits  variable is now available to Offer Letter Template types This variable will list all the selected benefit items in a free-text string field but styled as a bullet list.

Security Update to Hard Block Outdated EH Work Mobile App Versions

Objective: Enforce EH Work app version above 2.31.0 for compliance and security

Description: To strengthen EH Work app security and enforce compliance with our mandatory 2FA requirements, we’ve introduced a hard block for all mobile app versions on or below v2.31.0. Blocked users will be redirected to install the latest version of EH Work on the Google Play Store or App Store.

OpenAPI Developer Docs improvements

Description: We have added an advanced search function to assist users with finding what they’re looking for easier in the API developer documentation.

  • New search tool also includes fields nested in other fields (auto-expands if result clicked on to navigate).
  • Labels for 'section' or 'field' within search results.
  • Fields show a summary within search results so users don't have to scroll through all the results manually to see what it is.
  • Tracking for search queries to identify popular APIs/gaps.

We have also reordered the APIs alphabetically instead of the previous random arbitrary ordering.

Display Probation End Date in Employment Details

Objective: Close the HeroForce Efficiency & Data Gaps

Description: Previously, the Probation End Date was only available in reports and not surfaced in the employee profile, meaning admins had to manually calculate this. This release introduces a clear, unified view of Probation End Date and Probation Status across both Employment Hero and Global Teams, ensuring consistency, compliance, and transparency. The update also enables Global Teams host customers to view Probation End Date details for their GT employees (read-only), improving alignment between GT internal systems (GTER) and client-facing data. Although this enhancement was initiated as part of the HeroForce initiative, it has been released to all customers to ensure consistency across the Employment Hero platform.

Key Features

  • Adds a Probation Status Badge to the employee profile summary (e.g. In Probation – Ends 15 Feb 2025).
  • Adds Probation End Date to the Employment Details section.
  • Supports fractional probation lengths (days, weeks, or months).
  • Applies consistent calculation rules for all employees:
    • Standard employees → start_date + probation_length
    • Global Teams employees → global_teams_start_date + probation_length
  • For NZ customers, maintains 90-day trial logic — probation end date hidden during trial.
  • GT host customers can now view the GT Probation End Date (read-only).
  • Hides the badge if the employee has been terminated (effective or past date).

Digital Onboarding

IO NZ eOS + IP: Preparing for your first live pay run with Employment Hero step

Problem: Our eOS+IP clients going through our Intelligent Onboarding still have tasks required for handover to the Services team not yet captured in our checklist. This is then managed through ad-hoc external communications, which takes up significant time from our CX team.

Solution: Introduced Preparing for your first live pay run with Employment Hero parent step with four child steps that capture all steps to complete the handover.

  • Provide IRD authorisation.
  • Confirm agent in myIR.
  • Provide opening balances.
  • Intelligent Payroll training.

Impact: Streamline this process by shifting ad-hoc external communications into an in-platform workflow, reducing the time CX spends on coordination and clearly setting client expectations for a more consistent experience.

IO Global: Prevent Duplicate Inclusions in Test Pay Runs

Problem: Currently, our test pay run tool auto-creates inclusion items as non-recurring in the test pay run. However, this sometimes causes duplication when the same inclusions already exist as recurring. This causes discrepancies and extra work for CX to remove these auto-created inclusion items.

Solution: Apply a recurring/configured-first precedence rule: if a matching active configured item exists, suppress auto-creation of the same item in the pay run.

Impact: This change will reduce discrepancies in the test pay run by preventing duplicate inclusion items, resulting in more accurate results and less manual cleanup for CX.

Employee Engagement

Company Feed – Post Insights

Objective: To help HR and company administrators measure engagement and understand how employees interact with Company Feed posts, improving the effectiveness of internal communication.

Description: Previously, administrators had no visibility into how employees engaged with posts on the Company Feed. Without data on views, reactions, or comments, it was difficult to know whether announcements were reaching employees or resonating with them. This lack of insight led to uncertainty around post effectiveness and occasional misuse of other features, like “Shoutouts,” as a substitute for engagement metrics. With the new Post Insights feature, administrators can now access detailed engagement data directly from the Company Feed. Post Insights can be opened via the “More” button on any post, opening a panel to view detailed engagement data such as:

  • Views, reactions, comments, and read status.
  • Filtering by Employee, Team or Engagement Type.
  • Exporting data to CSV for deeper analysis.

Rostering and Timesheets

Assign Colours to Positions

Description:  Roster Managers often find it difficult to visually distinguish between different positions when viewing large or multi-week rosters. This lack of visual differentiation makes it challenging to quickly identify patterns, gaps, and scheduling inconsistencies across positions. To solve this problem, we have introduced a new opt-in colour feature that allows Work Site managers to assign a colour to a position. This makes it easy for the managers to visualise gaps in their scheduling and/or avoid costly overstaffing issues.

Key features

  • Assign colours via the Work Sites and Positions settings page.
  • Assigned colours will appear next to the position's name in all Work Site views in the roster.
  • Assigned colours will appear on the top of the shift cards in employee view for 2 weeks, 4 weeks and monthly views.

Talent Management

Rollout of the New Go1 Learn User Experience

Description: Go1 is introducing a refreshed, AI-powered learning experience designed to make learning simpler, smarter, and more engaging for both administrators and learners. As part of this, some legacy functionality is planned to be deprecated.

  • Learners will enjoy a cleaner, more intuitive design with personalised recommendations and an easier way to find and complete training.
  • Administrators will gain access to smarter tools for curation, reporting, and skill insights, helping them save time and better measure learning impact.
  • Some core administrative tasks will continue to be managed in the legacy Go1 interface for now, including user management, group management, and learning assignments.

Note: Employment Hero customers do not need to take any action. All existing courses, assignments, and progress will automatically carry over to the new experience.


Key changes & deprecations:

  • Events: Clients can still record external learning events, but event scheduling will be removed. Customers using this feature can continue until 31 December 2025.
  • Group Discussions: This feature is being retired due to low usage. Go1 is exploring future collaboration and gamification features instead.
  • Custom Branding: Admins will no longer be able to edit branding for Go1 system email templates after 31 December 2025. Note: Go1 system emails are turned off by default for Employment Hero clients.
  • Manager User Creation: Managers will no longer be able to create new users, though admins will retain full user management access.

Release Schedule:

  • 7 November 2025: Pre-release communication has been sent to admins.
  • 14 November 2025: Provide advanced access to admin users. Provides time for any internal documentation updates and configuration of the new "Home" screen.
  • 28 November 2025: Learner rollout begins.
  • 31 December 2025: Retirement of legacy features listed above.

SmartMatch Summary Enhancement

Description: We've updated the SmartMatch Summary to provide more insightful and action-oriented feedback to job seekers about their fit for a specific job, moving away from a generic profile overview.

Problem: The previous SmartMatch Summary was too generic and failed to communicate why a job seeker was a good fit for a specific job, relying only on a clinical numeric score.

Solution: We've replaced the generic user summary with a short, insight-driven version of the match criteria tailored to the specific job. The numeric SmartMatch Score Tag (percentages) has been replaced with qualitative, more resonant bands to give a clearer signal of fit: Top Candidate, Good Match, Potential Match.
