Automations
Introduce Assign Functionality to Custom Forms
Problem We’re Solving:
- All published forms was appearing on To Do widget. The "To Do List" is cluttered with all published forms, overwhelming the employee and burying forms that have been assigned to them. Users must manually scan through numerous forms to find which ones have been assigned to them. Users learn to ignore the "To Do List" widget entirely because it is perceived as a "noisy" and unhelpful list of links, not a curated list of tasks.
- There is no way to automate the assign for forms to users. Right now, admins must assign these forms manually outside the workflow, which breaks automation and relies on manual follow up. This creates delays, missed steps, and a disjointed experience. Many complex business processes require additional, contextual information to be gathered during the process itself. For example: A new hire needs an IT setup form raised during onboarding, covering things like laptop allocation, software/tools access, system permissions, and account provisioning. Currently, our workflows have no native ability to request this information, creating an "information gap."
Solution:
- Removal from To-Do List by Default: Forms no longer automatically appear in the to-do list upon publishing. This change was made because the functionality was opened up to support multiple submissions and self-serve, and having all published forms appear in the to-do list was causing confusion and a "false sense of urgency".
- Intentional Assignment: To have a form appear on an employee's to-do list, it must now be intentionally assigned.
- Assign Form Functionality: A new "Assign Form" functionality has been introduced, accessible via a pop-up, allowing a user to send the form to everyone who has access or to specific employees.
- To-Do Item and Email Notification: Assigning the form creates a to-do item on the employee's dashboard and provides the option to send an email notification, from which the form can be quickly filled out.
- Workflows Integration: The Assign Forms functionality has been added to workflows, allowing for automated assignment.
- Configuration: Within a workflow, a new "Assign Forms" action is available. Users select which form to use and who to fill it out for (e.g., the leave requestor in a leave workflow).
- Notifications: Users can choose to use the system default notification or tailor the email messaging by turning off the system default.
- Global Availability: The "Assign Forms" feature will be available globally across modules like expenses, leave, onboarding, offboarding, and employee file change, providing flexibility for setting up custom workflows.
- Permission Check: The workflows functionality includes a permissions check to ensure the form is only assigned to employees who actually have permission to access and submit it

Initiative: Compliance Workflows – Documents
Overview: We’ve added document-based triggers, conditions, and a new sharing action to Workflows, enabling automation around key document events like sharing and signing. This reduces manual follow-ups, improves compliance, and unlocks document-driven workflows across the platform.
What’s New?
- New Triggers - Workflows can now start when:
- Document shared to employee — Covers all documents shared via Document Management, issuing, employee file uploads, and bulk issue
- Recipient signature is added to a document — Fires when an employee signs a document
- New Conditions - You can now filter workflows using:
- Document — Target specific documents from Document Management
- Document tag — Filter using tags from Document Management
- Document status — Run workflows based on document status
- HR document type — Filter by document type from the Template Library (already existed in employee file change workflows, now available in onboarding as well)
- New Action - Share Documents via Document Management
- A new global action (available in almost all workflow modules) lets workflows automatically share published documents using existing Document Management access rules.
- Recipients are dynamic and can include onboarding employees, leave requesters, expense creators, offboarding employees, etc. As well as managers, team leaders, specific employees, or teams.

Initiative: New EH Document Editor
Description: The document editor has been revamped! We have created a new document editor experience which ensures feature parity with the existing CK Editor. You can expect a refreshed UI, new variable library and overall a greater experience compared to the current CK Editor.
EH Template Library Availability: It is expected that an organisation with access to the new EH Editor will only see documents created with the new EH Editor under EH Templates. We are currently in progress with this migration please see the schedule below. We have migrated the majority of high-impact documents. Please note the specific availability dates for Policy documents in different regions:

AI Screening Question Suggestions
What’s New: Recruitment teams on Platinum and Unlimited plans will now see AI-powered pre-screening suggestions to improve the quality of their screening questions. When you type a question manually or use a template, the AI suggestion LLM analyses it for structure and clarity, surfacing improvements in the AI Suggestions pane. Suggestions can include:
- Generates relevant screening question suggestions based on the job description that you can quickly add to your list.
- Analyses manually typed or template questions to suggest structural improvements, such as converting open text to Yes/No or applying industry-standard wording for clarity.
- Suggests "Auto-Disqualify" rules and preferred answers to automate candidate filtering.
Benefits of this feature
- Speed/Efficiency: Eliminates manual drafting time by automatically generating tailored questions, allowing managers to move to the next step faster.
- Quality/Filtering: Optimises questions into scorable formats (Yes/No) to enable automated filtering, reducing hours spent reviewing unqualified candidates.
- Relevance: Tailors suggestions to specific role requirements (e.g. certifications, shift work) rather than generic templates.

HeroForce Candidate Screening in Talent Search and the ATS Profile
Objective: Enable recruiters to quickly assess vetted candidates by surfacing HeroForce screening questions and screening highlights within the candidate card and profile.

- Displays screening responses in a dedicated HeroForce Screening tab

Enhanced SSO Flow in EH Work App to Support Passkeys and Physical Security Keys
Description: We have modernised the Single Sign-On (SSO) authentication flow for Google, Microsoft, and Okta in the EH Work App to address a critical security and accessibility gap. The previous flow, using an embedded webview, did not support modern WebAuthn standards, preventing users with mandated Passkeys or Physical Security Keys (e.g., YubiKey) from logging in.
Problem Solved: Users who were locked out of the mobile app due to their employer's high-security mandates (requiring a Physical Security Key or Passkey for Google SSO) can now successfully log in.
Solution Implemented: The SSO flow has been migrated from the non-compliant embedded webview to a system browser-based library.

Increase Adoption of Passkeys on Payroll
Description: To increase the awareness and adoption of Passkeys and in turn reduce the frequency of account recovery, we have added in a prompt for users who have recently had their account recovered.

- The "Team" To Do list now includes Recognition Approvals for managers.
- A new "Personal" To Do list highlights key action items for employees, including acknowledging mandatory Policies and Induction Content.
- Cost Centre to Work Sites & Position migration support in EH Work (legacy rosters & timesheets)
- We’ve added support for BPAY in Banking Details so you can choose the payment method that works best for you.
- Employees now get a confirmation prompt before discarding a form, helping prevent accidental loss of work on mobile.
- A warning will appear when a shift has been clocked into and the locked setting(s) have been enabled.
Performance Management
Emails Notifications: Leave (Time Off)
Objective: Give HR Admins greater transparency and control over Employment Hero’s email notifications
Description: Leave-related emails are now surfaced in the Organisation Emails settings page (Time > Leave), giving HR Admins visibility into what the email is for, when each notification is sent and the ability to toggle delivery on or off at an organisation level. Previously, the “Leave requests status updates” toggle covered multiple different emails. This has now been split into more specific toggles, including:
- Your leave requests have been updated (approved / declined)
- Personnel leave calendar events
- Manager leave calendar events
For organisations that previously had “Leave requests status updates” turned off, the newly split toggles have been migrated and are also off by default. Email previews are now supported for all leave-related toggles, with the exception of calendar event notifications, allowing Admins to review email subjects and content before managing delivery.

360 Reviews – Custom Security Permissions
Objective: Give admins control over which users can access and manage 360 reviews for their reporting employees.
Impact: With this release, access to 360 Reviews is controlled via Employee Permissions. HR Admins can now:
- Assign permissions by employee access: Users can be given View, Delete, or Use access for 360 reviews of their reporting employees only.
- Control actions based on permission level:
- View – see reviews and feedback
- Delete – archive or delete reviews
- Use – create new reviews, edit details, and send reminders
Notes: Users cannot access 360 reviews for employees outside their direct reporting line. Existing 360 Reviews Management CSS remains unchanged.

Performance Reviews - Do Not Override Reviewers
Objective: Prevent reviewers from being automatically updated when reporting lines change
Description: The Performance Review module supports reviews between an employee and their assigned manager. However, in the past, when a manager is updated for an employee in a review period, the reviewer would be automatically replaced by the new manager. As a result, any existing responses or submissions made by the past manager would be lost.
Reviewer/manager assignment for Performance Reviews is now fixed at the point an employee is added to a review. It will no longer update automatically when reporting lines change. This prevents reviewer changes that could result in lost review comments or reviews being completed by someone without the appropriate historical context.
This change applies to all existing open reviews. This change also applies to both Primary and Secondary managers. HR Admins who intentionally want to update to the new manager for an active review can do so by removing and re-adding the employee to the review.
To support intentional actions, a confirmation modal has been added when removing an employee from a review, clearly communicating that any existing review notes or responses will be lost. An outdated confirmation message shown when updating an employee’s manager in their profile has been removed, as manager changes no longer impact reviewer assignment in open reviews.

Platform Experience
To Do Widget in EH Work - Personal View for Employees and Recognition Approvals for Managers
Description: Following the release of our To Do List for Manager Approvals in EH Work, we’ve launched a new “Personal” view in the To Do Widget for employees. This view separates personal tasks from team tasks, making it easier for employees to see, prioritise, and complete critical To Do items faster and more efficiently — starting with Mandatory Policies and Induction Content. This update addresses the friction and delays in completing high-impact compliance and onboarding tasks — particularly on mobile, where limited visibility and prioritisation have made it harder for employees to work efficiently.
Note: Non-mandatory versions of Policies and Induction Content are not shown in the To Do Widget to maintain clarity and reduce noise.
Recognition Approvals have now also been added to the Team view in the To Do List, expanding the scope of actionable items for managers and approvers.

Rostering and timesheets
Directly Edit Published Shifts
Release Date: 16/12/2025
Target Users: All users of work site and position rosters and timesheets
Background: Currently there is no way for managers to simply edit a published shift without first unpublishing → editing the shift → republishing the shift. This frustrating and lengthy process for our roster managers and also requires extra notification to be sent from our system. Managers can now edit a published shift directly, as long as the shift isn’t locked. This removes friction from day-to-day rostering and keeps things moving quickly and cleanly.
Key features include:
- Edit published shifts directly (when the shift is not locked)
- Edit via the shift panel
- Drag and drop unlocked published shifts
- Copy and paste unlocked published shifts
- A new notification for employees so they are aware of any updates to their shifts
- Push notification
- In app notification
- Email notification
The timesheet management page will seamlessly handle edits to rostered data while also keeping clocked data true to the employee's clocking behaviours
Lock Shifts
Release Date: 16/12/2025
Target Users: All users of Work Site and Position rosters and timesheets
Background: We have introduced 3 x new lock shifts settings to promote data hygiene between the roster management page and the timesheet management page. When enabled the locked shifts will prevent the roster managers from edited locked shifts which in turn will limit discrepancies between the pages.
These settings will be disabled by default, however organisations can opt-in to enforce these data hygiene practices. Furthermore, the settings will support the new 'edit published shifts' feature to reduce human error while scheduling shifts.
Key features
- New settings which automatically lock shifts when certain conditions are triggered
- X day(s) after the scheduled end time
- When an employee clocks in
- When timesheets are approved
- Clear warnings explaining why a shift is locked
- A new CTA button that redirects the manager to the TSM page where they can directly edit the timesheet
- Shifts will also be locked on the EH Work app within the roster management feature
What’s New: This quarter, we focused on improving MPS through a series of QoL improvements across Rostering & Timesheets. These are smaller, behind-the-scenes changes that didn’t get individual spotlights, but together make the product feel smoother, clearer, and easier to use.
What’s Improved: A snapshot of the QoL work shipped this quarter:
