Understanding Management Reporting Lines
In Employment Hero, you can assign a primary and secondary manager to each of your employees.
Primary and secondary managers have a variety of responsibilities, including approving leave requests, timesheets, and expenses for their team members. They can also submit these requests on behalf of their employees.
By assigning a primary and secondary manager, you can empower your team to take control of their own work, while still providing the necessary oversight to ensure that everything runs smoothly.
Set up your management reporting lines
- Click People.
- Click Employees List from the submenu.
- Select the employee that needs their details updated.
- Click the Employment Details tab.
- Click the Edit button.
- Use the drop-down menu to select a Primary Manager.
- Use the drop-down menu to select a Secondary Manager.
- Use the drop-down menu to select the relevant teams.
- Save.
- Click People.
- Click Import Employees from the submenu.
- Use one of our handy templates by selecting Update Employee Employment Details and Download.
- To update an employee's Primary/Secondary Manager, edit the respective columns by entering in the account email of the employee's manager (TIP: copy and paste the manager's account email from your template export into the primary or secondary manager column of the employee). Make sure to use the account email, as this is the unique identifier of that manager to connect the profile accordingly.
- To update an employee's team, edit the respective column in the template. To add multiple teams, separate each team with a pipe symbol ' | '. For example: 'Sales | Management | Remote'
- Once completed, save as a CSV file.
- Back on Employment Hero, use the grey box on the left to upload your file.
- If you've used the provided template, the import fields will be automatically configured. If you're using your own CSV, use the Map Your Columns page to ensure all of the fields are correctly imported.
- When you're ready, select Continue.
- You'll see the Imported Successfully page, where you can review the number of employee records that were created or updated. To view the new or updated employee records, click on the Go to Employee Page button.
Organisation Chart
The Organisation Chart allows you and your employees to view the unique relationships between the various reporting lines, teams or individuals within your organisation.
Access your Organisation Chart by selecting:
- People
- Organisation Chart
At the top of your organisational chart, you'll find the big cheeses - the top dogs - you get the picture. Everyone else falls below them in this structure.
If you see an employee floating off to the side like a lone island, that means they haven't been assigned a manager yet. Don't worry, you can easily fix this!
As an admin, just click on the file option in the top corner of their Personnel File to access it and update their information.
Frequently Asked Questions
By default, your managers will have access to the following details for any employee who reports to them:
- Employee Overview (this is where you will see an employee's name, job title, teams and work email).
- Leave Details including current leave balance if you are integrated with a payroll platform.
- Company assets that have been assigned to the employee.
- Performance Reviews.
- Additional Information (this is a platinum feature also known as Custom Fields).
You can assign primary managers to employees in bulk by using the Update Employee Employment Details CSV template. You will need to enter the employee's manager's account email address in the primary manager column.
You can find this email in the account email column for the manager. Copy and paste the manager's account email into the primary manager column for the employee.
Yes you can. As an admin, you can assign multiple teams. You can do this one-by-one from within the employee file (Employment details tab) by selecting the teams from the Teams drop down, and in bulk by using the Update Employee Employment Details CSV template. To add multiple teams, you will need to use the space pipe symbol space format (i.e., Sales | Leadership).
Employment Hero will provide you with conflict notes which will explain the error and the specific cell that has caused the error. Download the CSV file that has been provided and amend the values in those cells. Remember to save your CSV file and re-upload.
There might be several reasons for your employees not displaying on the Organisation Chart. Please review if any of the following scenarios exist:
- Employees will only appear on the organisation chart on their start date.
- An employee cannot be a manager of themselves or have a reporting line that will lead to themselves, and no two managers can report into each other. If any of these scenarios exist, the organisation chart will not display these employees.
