Configuring locations and public holidays

Available for the following plans: Employment Lite, Employment Plus, Employment Unlimited
Available for the following HR classic plans: Premium, Platinum
Available for the following User Access levels: Admin   

You can add locations to the Employment Hero platform from anywhere in the world. When you include a location from a supported region, such as the UK, Australia, New Zealand, Malaysia, or Singapore, Employment Hero automatically populates employees' profiles with relevant country-specific features. Additionally, setting up locations links employees to a public holiday calendar specific to their location, enabling them to submit leave requests based on the public holidays that apply to them.

Getting started

Add a new location
  1. Click the   Settings menu.
  2. Click the Locations and Public Holidays submenu.
  3. Click the Locations tab.
  4. Click the Add New Location button.

  5. Complete the following fields:
    • Name.
    • Country.
    • Description.
  6. Select Yes or No for the Set this location as the default location for new employees toggle switch.

    Helpful Hint

    If you have more than one default work location, you can turn on this setting to make all new employees part of that location by default.

  7. Click the Submit button.

Add standard public holidays calendar
  1. Click the   Settings menu.
  2. Click the Locations and Public Holidays submenu.
  3. Click the Public Holidays tab.
  4. Click the Add New Calendar button.
  5. Click the Standard Public Holiday Calendar tick box.
  6. Complete the following fields.
    • Name.
    • Locations.
    • Standard public holiday calendar.
  7. Click the Submit button at the bottom of the page.

Add custom public holidays calendar
  1. Click the   Settings menu.
  2. Click the Locations and Public Holidays submenu.
  3. Click the Public Holidays tab.
  4. Click the Add New Calendar button.

  5. Click the Custom Holiday Calendar tick box.

  6. Complete the following fields:
    • Name.
    • Locations.
    • Year.
  7. Click the Add New button to enter your custom public holiday.

    Helpful Hint

    Click the Remove button to delete a custom calendar entry.

  8. Click the Submit button.

Editing data

Edit a location
  1. Click the   Settings menu.
  2. Click the Locations and Public Holidays submenu.
  3. Click the Locations tab.
  4. Click the Action button.
  5. Click the Edit button.
  6. Make the required changes and click the Submit button.

  1. Click the   Settings menu.

  3. Click the Actions button.
  4. Click the Edit button.

  5. Make the required changes and click the Submit button

    Warning

    When editing a public holiday calendar, the Employment Hero will prevent you from removing any holiday date that has a leave request attached to it, which you can see when Employment Hero greys out a public holiday date.

Removing data

Disable a location

Important

The disabling a location feature is only available when a location is in use by an active employee.

  1. Click the   Settings menu.
  2. Click the Locations and Public Holidays submenu.
  3. Click the Locations tab.
  4. Click the Action button.
  5. Click the Disable button.

Delete a location

Important

The deleting a location feature is only available when a location is not in use by an active employee.

  1. Click the   Settings menu.
  2. Click the Locations and Public Holidays submenu.
  3. Click the Locations tab.
  4. Click the Action button.
  5. Click the Delete button. 
  6. Click Confirm on the confirmation popup.

Deleting a public holiday calendar

Warning

When deleting a public holiday calendar, we will prevent you from removing this entry if any holiday date within the calendar has a leave request attached to it. You can see this info as Employment Hero will grey out a public holiday date that is in use.

  1. Click the   Settings menu.
  2. Click the Locations and Public Holidays submenu.
  3. Click the Actions button.
  4. Click the Delete button.
  5. Click the Confirm button.

Frequently asked questions

Is it possible to access standard public holiday calendars for multiple countries?

At this stage, only the Standard Public Holiday Calendars for your organisation's original country in Employment Hero are available. For example, if you set up your original country as Australia, you will only be able to access the Australian standard public holiday calendar. This remains the case even if you later add a New Zealand country location to Employment Hero.

Are custom public holiday calendars updated every year?

For any custom public holiday calendars, these will need to be updated every year, as they are not auto-updated by Employment Hero.

What if multiple public holiday calendars are linked to a particular location?

Where multiple public holiday calendars have been set up and linked to a particular location, all the public holidays combined within both calendars will apply to the employees who are classified under that location.

How will newly created public holidays affect employee leave requests?

Newly created Public Holidays will only be applied to any future Leave Requests that have not yet been submitted by employees.
