Download a journal report on payroll classic

Available for the following Payroll plans: Standard, Premium
Available for the following user access levels: Admin

The Journal Report allows users to download the payroll journal for a specific finalised pay run without having to access the pay run itself. The report is available to all users who are connected to an accounting integration.

Accounting integrations refer to Journals that seamlessly transfer into your chosen Journal, such as Xero or Netsuite, removing the need for manual journal downloads. It is important to be aware that we set the journal export format for API-based accounting integrations to the default journal export and they may not be compatible with your specific journal provider.

If you are connected with a Journal provider that requires downloading and importing journals into your accounting service provider through a spreadsheet. The journal export will automatically adopt the journal export format defined on your integrations page, such as Myob or Sassu.

If your organisation uses Dimensions (such as cost centres, departments, or projects), these values are automatically applied to all earnings lines in a pay run, including leave earnings. When leave is taken, the leave earnings line inherits the Dimension values from the employee's default Dimension configuration, so there is no need to manually assign Dimensions to leave entries. If an employee has multiple earnings lines with different Dimensions, each leave earnings line will carry the matching Dimension value. For employees without Dimensions configured, the Dimension column will appear blank.

These Dimension values, including those on leave earnings and leave accrual lines, are then carried through to your journal export. This is supported for File export and Detailed file export formats, ensuring your exported journal data is complete and consistent without requiring manual adjustment.

Helpful Hint

You can also schedule the report to go out to recipients via the Report Packs feature.

    Important

If you have connected to an accounting integration that outputs export files, you can download in either CSV or Excel format. The column headers and data contained in the file will depend on the accounting integration that you have connected to. If your organisation has Dimensions configured, these will be included on all journal lines — including leave earnings and leave accrual lines — so your exported data is ready for import without further adjustment.
