Delete/remove an employee from your platform

Available for the following plans: Employment Lite, Employment Plus, Employment Unlimited
Available for the following HR classic plans: Standard, Premium, Platinum
Available for the following user access levels: Employee, Manager, Admin

Deleting/removing an employee's profile is important when you do not wish to offboard an employee and instead aim to completely remove all that employee's data and history permanently from your platform. This action can be performed by admins. It can also be performed by employees who have been granted the Delete employee permission through Permission Settings, provided the employee they are deleting falls within their assigned scope.

Deleting a user in the HR platform does not delete them from the payroll platform. If you also use the Payroll platform, you will need to delete the employee there too. Learn how to delete an employee on Payroll classic in this article.

Delete/remove an employee

Warning

Deleting an employee from your platform means you will not be able to reactivate their profile in the future. In case you want to hire them back, you will have to onboard them again from the start.

Users with the Delete employee permission cannot:

  • Delete their own employee profile
  • Delete organisation owners or admins
  • Delete employee profiles outside their assigned permission scope
  1. Click the   People menu.
  2. Click the Employees List submenu.
  3. Click the Action   button for the employee you want to remove.
  4. Select Delete.

  5. In the Delete employee file window, type the employee's full name.
  6. Click   Delete.

Further information

Greyed out profiles

If an employee profile is greyed out, this may mean the user does not have permission to delete that employee, the employee falls outside the assigned scope, or the employee profile contains records that prevent deletion.

This may happen if the employee profile includes any of the following:

  • An assigned asset
  • Previous use in onboarding another employee
  • Submitted or approved leave
  • Submitted or approved timesheets
  • A signed HR document or contract
