Reinstate an employee moving from full-time to casual without affecting leave entitlements

There may be times when one of your full-time employees has their employment terminated, but they later need to be reinstated as a casual employee. In these cases, you may wonder: what difference will this reinstatement make to the individual's previous leave entitlements?

The answer is that you will need to create a new employee profile with a new email address on your HR platform. This is because an employee's account email can only be used once in Employment Hero (EH).

Notes about your payroll platform

If you use Xero as your payroll platform, in addition to the above actions in your HR platform, you will probably need to create a new employee file for the reinstated employee. This is to ensure that their assigned leave template is updated accordingly.

It is, however, possible that you could still use the same payroll profile for the employee if they are reinstated very quickly (e.g. two days after their full-time employment contract was terminated). In such instances, we recommend you consult Xero's support team and/or your accountants.

Alternatively, if you are using the EH Payroll platform, you can reactivate the employee's existing employee profile. However, you will still need to ensure all your employee's leave is paid out first and that their leave entitlements reflect the fact they are no longer permanent and are now casual.
