Colour-coding colours as an admin

The position colour-coding feature allows you to assign colours to positions within your Work Sites, making it easier to visually identify scheduling gaps, overstaffing issues, and position coverage patterns across your roster. By colour-coding positions, you can quickly spot missing shifts or operational inefficiencies at a glance, particularly when viewing multi-week rosters in Employee view. This is an opt-in feature, so positions will remain uncoloured until you choose to assign colours to them.
 

Only admins can perform the actions in this section.

How to assign colours to positions
  1. Click the Settings menu.
  2. Click on Work Sites and Positions, under the 
  3. Expand the Work Site where you want to assign position colours.
  4. Locate the position you want to colour-code.
  5. Click the Select colour dropdown next to the position.
  6. Choose a colour from the available options.

  7. The selected colour will display next to the dropdown for confirmation.
  8. Repeat for other positions as needed.
  9. Click Save to apply your changes.

Helpful Hint

You can assign the same colour to multiple positions within a Work Site if needed. Position colour-coding is an opt-in feature, so positions will show "Select colour" by default until you assign colours.

How to view colour-coded positions on the roster
  1. Click the  Time menu.
  2. Under Rosters, click the Rostering Management submenu.
  3. Assigned colours will appear in the following locations:
    • Work Site view: colours display next to the position name
    • Employee view (2 weeks, 4 weeks, and monthly): colours appear as a border at the top of shift tiles
  4. Use the colour coding to quickly identify:
    • Missing shifts for specific positions (gaps in your colour pattern)
    • Overstaffing issues (too many shifts of the same colour)
    • Scheduling patterns across multiple weeks

Helpful Hint

Position colours are particularly useful when viewing rosters in Employee view across 2-4 weeks, as they help you quickly scan for gaps and patterns that would be difficult to spot by reading position names alone.

How to edit or remove position colours

To edit a position colour:

  1. Click the  Time menu.
  2. Under Rosters, click the Settings submenu.
  3. Click on Work Sites and Positions.
  4. Expand the Work Site containing the position.
  5. Click the colour dropdown next to the position.
  6. Select a new colour from the available options.
  7. Click Save.
  8. The roster will automatically update to reflect the new colour.

To remove a position colour:

  1. Follow steps 1-5 above to access the position colour dropdown.
  2. Select No colour assigned from the top of the dropdown list.
  3. Click Save.
  4. The colour will be removed from the position on the roster.

Helpful Hint

Position colours can also be edited from the individual Work Site page. Look for the colour selector next to the "Available Workers (Optional)" section when editing a Work Site.

Best practices for using position colours

To get the most value from position colour-coding, consider these strategies:

  • Use contrasting colours: Choose colours that are visually distinct from each other to make positions easy to differentiate at a glance.
  • Apply colours consistently: If you manage multiple Work Sites with similar positions, consider using the same colour scheme across locations for easier comparison.
  • Focus on critical positions: You don't need to colour every position. Start by colour-coding positions that are hardest to fill or most critical to operations.
  • Use Employee view for planning: Switch to Employee view when reviewing 2-4 week rosters to take full advantage of the visual colour-coding on shift tiles.
  • Review regularly: Check your colour-coded roster daily or weekly to quickly spot gaps or overstaffing before they become scheduling issues.

Position colour-coding works best as a planning tool when viewing multi-week rosters. Use it alongside roster cost data to ensure you're maintaining both operational coverage and budget efficiency.
