Manage Build Your Own Report access for your reporting employees

Available for the following User Access levels: Manager, Admin

The Build Your Own Report (BYOR) restricted access feature allows managers and people leaders to generate self-serve insights specifically for their reporting lines. This functionality ensures that managers can access timely data for their teams without needing full organization-wide data permissions, maintaining strict privacy standards while reducing administrative overhead for HR Admins.

This article will show you how to manage the following:

Assign a scoped security role

HR Admins can define exactly which employees a manager can see within the report builder by configuring the scope in Custom Security Settings.

  1. Log in to Employment Hero.
  2. Click the Settings menu.
  3. Click the Custom Security Settings option.
  4. Select the Security Role you wish to edit, or create a new one.
  5. Locate and enable the Build Your Own Report permission.
  6. Select the desired Scope from the available options:
    • Full Access: Sees all employees in the organization.
    • Reporting Employees: Sees only their direct and indirect reports.
    • Team: Sees only employees within their assigned team.
  7. Click Save.

Helpful Hint

Field-level permissions still apply. A manager will only see specific data fields (like pay or financial details) in their report if they have already been granted access to those fields for their reporting scope.

Build and preview a report as a Manager

Access the scoped report builder

Once access is granted, the BYOR interface automatically restricts data to the manager's assigned scope.

  1. Click the Reports icon on the left-hand side menu.
  2. Click the Build Your Own Report option.
  3. Select the data fields you wish to include in your report.
  4. Click Preview to view the data.

Important

The preview will only display rows for employees within your assigned scope. If you have no reporting employees, the builder will display an empty state message instead of an error.

Filter by reporting personnel

Use the Reporting Personnel filter

Managers can refine their reports to focus on specific segments of their reporting line.

  1. Within the Build Your Own Report screen, locate the Reporting personnel filter.
  2. Choose one of the following options:
    • All personnel: Includes everyone in your reporting line (Default).
    • Direct: Includes only your direct reports.
    • Indirect: Includes only employees who report to your direct reports.
  3. Click Apply to update the preview.

Export and share reports

Export or share your report data

Reports can be downloaded for offline use or shared with other stakeholders within the platform.

  1. To download a file, click the Export button. The exported CSV or spreadsheet will strictly respect your active filters and assigned scope.
  2. To allow others to view your report, use the standard Share action.

Helpful Hint

Sharing a report follows standard ownership rules. You can only share reports that you have created yourself.
