Updating employee details via the Payroll platform

Sometimes an employee, manager, or admin will need to update their personal details when their circumstances change. The Personal Details feature is where you update these details if they change, with the payroll platform reflecting these changes throughout the entire platform. It means there is only one place you need to update your details if they change. Making sure your records on the payroll platform are always up to date.

Warning

If you use our HR product, then you will need to update an employee's details via your HR platform and these changes will then sync over to your payroll platform. The HR platform is the source of truth for these details, not the payroll platform. To read further details on this feature, you can refer to the following article.

Editing data

Edit employee details
  1. Log into your Employment Hero Payroll platform.
  2. Click the   Employee menu.
  3. Click the List submenu.
  4. Click on the employee's name to open their file.
  5. Click the   Details button.
  6. Complete the following fields:
    • Start date.
    • Title.
    • Legal name.
    • First name.
    • Preferred name.
    • Middle name.
    • Surname.
    • Gender.
    • Date of birth
    • Anniversary date.
    • Email.
    • Home phone.
    • Mobile phone.
    • Work phone.
    • Look up address.
    • Residential block/house no.
    • Residential level number.
    • Residential unit number.
    • Residential street name.
    • Residential postcode.
    • External ID
    • Previous surname.
  7. Click the Save button.

What address verification checks does the platform have?

Local address

  • Residential block/house number cannot be blank AND has 10 alphanumeric character limit.
  • Residential street name cannot be blank AND has 32 alphanumeric character limit.
  • Residential level number cannot be blank AND has 3 alphanumeric character limit.
  • Residential unit number cannot be blank AND has 5 alphanumeric character limit.
  • Residential postcode cannot be blank AND cannot be “000000” or “999999" AND has 6 whole numbers limit AND cannot be negative number.

Foreign address or local C/O address

  • Residential address line 1 cannot be blank AND has 30 alphanumeric character limit.
  • Residential address line 2  has 30 alphanumeric character limit.
  • Residential address line 2 must be blank when “residential address line 1” is blank.
  • Residential address line 3  has 30 alphanumeric character limit.
  • Residential address line 3 must be blank when “residential address line 2” is blank.
  • Residential address line 1 cannot be blank and has a 30 alphanumeric character limit.

Local C/O address

  • Residential address line 1 cannot be blank AND has 30 alphanumeric character limit.
  • Residential address line 2  has 30 alphanumeric character limit.
  • Residential address line 2 must be blank when “residential address line 1” is blank.
  • Residential address line 3  has 30 alphanumeric character limit.
  • Residential address line 3 must be blank when “residential address line 2” is blank.
  • Residential postalcode” cannot be blank;
    AND cannot be “000000” or “999999”,
    AND has 6 whole numbers limit,
    AND cannot be negative number

Further, in all address fields, payroll will not be accepting the following special characters:

  • %
  • $
  • ;
  • *
