Manage and upload documents

Available for the following HR plan: Platinum
Available for the following user access level: Admin    

The Document Management feature lets you upload a pre-created document as well as edit, delete, and both individually and bulk share it.

This article explains how to upload and manage documents and ensure they reach the right recipients.

This is important as, providing you do not need your employee(s) to sign the document, uploading and sharing a document as an employee file is the easiest way to send documents through Employment Hero.

Getting started

Upload a document via Document Management

Helpful Hint

For security purposes, the platform will conduct a security scan of the uploaded document before it can be viewed. "This file is pending security scan" will appear when mousing over the document.

  1. Click the   Compliance menu.
  2. Click the Document Management submenu.
  3. Click the   Upload Document button.

  4. Click or drag the required file onto the Upload tile.
  5. Click the Upload button.

  6. Click the Save All button.

You can upload multiple documents using this Document Management feature, you are not limited to just one document.

Upload a document via employee file

  1. Select the People menu.
  2. Select Employee List.
  3. Select the employee you would like to add a document for.
  4. In the Documents panel, select Add Document.
  5. Select whether you would like to issue a HR document, or would like to upload any other document.
  6. If you select a HR document, select from the templates available.
  7. If you choose to upload a document, fill in the details in the Uploaded Files modal.
  8. Select Save.

Filter and share data

Filter your documents
  1. Click the   Compliance menu.
  2. Click the Document Management submenu.
  3. Click the Filter   button and select either:
    • Show all
    • Published
    • Draft

Share a document
  1. Click the   Compliance menu.
  2. Click the Document Management submenu.
  3. Click the Actions   button.
  4. Click the   Share button.

  5. Complete the following fields:
    • Document name
    • Share everyone:
      • All employees
      • All contractors
    • Share to individuals that match any of the following:
      • Teams
      • Individual
    • Tags
    • Admin access only:
      • Admins and others
      • Admins only
    • Reporting line access:
      • This employee
      • Direct managers
      • Indirect managers
  6. Click the Publish button.

Edit data

Edit a document
  1. Click the   Compliance menu.
  2. Click the Document Management submenu.
  3. Click the Actions   button.
  4. Click the   Edit button.

Remove data

Delete a document
  1. Click the   Compliance menu.
  2. Click the Document Management submenu.
  3. Click the Actions   button.
  4. Click the   Delete button.
