Onboard an employee on HR classic when integrated with Xero

Available for the following HR plans: Free, Standard, Premium, Platinum

Organisations using the HR classic platform with Xero have to perform certain actions on both platforms to complete an employee's onboarding. You need to onboard the employee on the HR classic platform first. Then, you have to assign them an Ordinary Earnings Rate and a Holiday group in Xero. You also need to add super details to their employee profile in Xero. After that, it is just a matter of heading back to the HR classic platform and syncing the employee's pay details.

Step 1: Onboard the employee to the HR classic platform
  1. Log into Employment Hero.
  2. Onboard the employee to the HR classic platform by following this article: Onboard a new employee.

    Important

    Make sure you tick the Synchronise with Payroll? checkbox so their profile will sync over to Xero.

  3. Once they have been successfully synced, proceed to Step 2 in this article to complete some steps in Xero.

    Helpful Hint

    The employee might not sync over to Xero if their profile on Employment Hero is missing certain details, like their TFN, date of birth, address, and other information. The HR classic platform will show a yellow notice containing a list of the missing details you need to input before the employee can be synced to payroll.

Step 2: Assign a holiday group and an ordinary earnings rate in Xero
  1. Log into Xero.
  2. Click your organisation.
  3. Click the Payroll menu.
  4. Click Employees.

  5. Click the name of the employee you are onboarding.
  6. Click the Employment tab.
  7. Scroll down to near the bottom part of the screen.
  8. Click the Holiday Group field and select the correct holiday group.
  9. Click the Ordinary Earnings Rate field and select the correct ordinary earnings rate.

  10. Click Add a Superannuation Membership.

  11. In the popup, choose the correct superannuation fund.
  12. Enter the employee's member number.
  13. Click the Add button.

  14. Click the Save button.

    Helpful Hint

    The Employment Hero to Xero sync for employee file changes is not bidirectional. This means that any changes you make directly in Xero (such as Super details) will also need to be inputted on the HR classic platform.

  15. After saving, click the Pay Template tab.
  16. Click the Add Superannuation Line button.

  17. The details will automatically populate the details, but you can adjust the information as needed.
  18. Click the OK button.

  19. Click the Save button.

  20. Proceed to Step 3 in this article.
Step 3: Sync the pay details on the HR classic platform

Important

The employee's salary cannot be updated and synced to Xero if there are sync errors appearing in the employee profile. This means you have to resolve all sync errors first before you can select which earning line in Xero will be updated.

  1. Go back to Employment Hero.
  2. Edit the employee's salary information by following the Edit salary information tab in this article: Salary history | Xero Payroll.

    Helpful Hint

    You have now completed the onboarding for the employee on both Employment Hero and Xero.
