Set up Historical Timesheets
Introduction
Within your organisation, some employees may be required to submit detailed timesheets outlining their daily start and end times, as well as any breaks taken during their working week. By using online timesheets, employees can submit worked hours from anywhere, with submissions sent directly to managers for review and approval.
Historical timesheets allow you to approve or reject employee timesheets that have been submitted daily or weekly, either individually or in bulk. You can also enter timesheet data on behalf of employees, edit existing entries, and delete records that are no longer required.
How to Prepare
- To access and use timesheet functionality, your business must be on a Standard HR subscription or higher.
- Integrated timesheets are enabled by default. If disabled, employees will not be able to submit timesheets for hours worked.
Timesheet Enabling Services
- Require start/end times when entering timesheets – Employees must enter exact start and end times instead of total daily hours. This is recommended where awards or pay conditions apply.
- Require a work type when entering timesheets – Disabled if no work types are configured.
- Require a location when entering timesheets – Employees must select a location.
- Include all timesheet notes in the pay run – Notes entered by employees and admins appear in the pay run and payslip (if enabled).
- Notify employees when their timesheets are rejected – Sends an email notification when a manager declines a timesheet.
- Managers can create timesheets for employees not enabled for timesheets

Enable employees to select higher classifications – Relevant where Awards or Employment Agreements apply.
- Disabled by default.
- Managers can still select higher classifications even if this is turned off.
- Automatically approve a timesheet identical to the rostered shift – Automatically approves timesheets that match rostered hours exactly.
- Enable employees to include paid and unpaid breaks – Applies to timesheets with start and end times.
Instructions
- Log on to your Employment Hero HR platform.
- Navigate to Business > Settings > Timesheets.
- Review and update the settings as required.
