Set up Employment Hero Work (Mobile App)
Introduction
Employment Hero Work (EH Work) is a user-friendly time and attendance super-app that integrates with Employment Hero’s payroll platform. It gives employees a simple way to record work hours and clock in and out using their mobile device. This streamlines time tracking, supports workforce management, and helps ensure accurate payroll processing.
EH Work has its own help centre with a collection of articles. This is where to direct your employees to learn how to use the app.
How to Prepare / Dependencies
Tip
- If you utilise an HRIS alongside payroll, you may see the message Employees can clock in/out using EH Work. Disregard this directive and continue using WorkZone for clocking in and out.
- By default, the integrated timesheets option will be turned on. However, there are additional settings below you may consider. If you disable this service, employees will not be able to submit timesheets for hours worked.
Timesheet Enabling Services
- Require start/end times when entering timesheets — If you do not select this option, employees can enter total hours worked per day instead of specifying exact start and end times. If there are pay conditions or awards in place, it’s recommended to require start and end times.
- Require a work type when entering timesheets — If there are no work types configured within the business, this setting will be disabled.
- Require a location when entering timesheets — Requires users to choose a location.
- Include all timesheet notes in the pay run — Notes entered by employees and admin users (if configured as visible) will display in the earnings section of the pay run. If the “Show line notes” option in payslip settings is enabled, notes will also appear on the employee’s payslip.
- Notify employees when their timesheets are rejected — Sends an email notification when a manager declines a timesheet.
- Managers can create timesheets for all employees that are not enabled for timesheets

Enable employees to select higher classifications — Only relevant where Awards/Employment Agreements are in use. Enables employees to create timesheets and select a higher classification or employment agreement than their default classification.
- Please note:
- Default is for this setting to be disabled.
- Even with this setting turned off, managers can still choose higher classifications when creating timesheets for employees.
- If this setting is turned off but “Allow employees to select a higher classification when clocking in” (within the “Employees can clock in/out using EH Work” setting) is enabled in the employee portal, employees can still select higher classifications while clocking in using EH Work.
- Please note:
- Automatically approve a timesheet that is identical to the rostered shift — Automatically approves a timesheet that exactly matches a rostered shift.
- Enable employees to include both paid and unpaid breaks in their timesheet — Only relevant to timesheets with start/end times.
Instructions
Configuring Requirements
- Log on to your Employment Hero Payroll platform.
- Navigate to Business > Payroll Settings > Business Management > Employee Portal Settings > Settings.
- Tick each option according to the permissions you want to grant employees.
Options to Tick to Grant Permissions
- Employees can edit their personal details
Tip
The Bank Accounts section in the employee’s profile in the EH Work app is not editable.
- Employees can edit their own bank account details

The Super Funds section in the employee’s profile in the EH Work app is not editable.
- Employees can edit their own super fund details
- Employees can apply for leave
- Employees can apply for expense reimbursement
- Employees can add and update their own qualifications
- Employees can complete the employee satisfaction survey
- Employees can set their own unavailability
- Employees can view approved leave
Tip
- This setting allows employees to access their peers’ approved leave information through the ESS portal and enables managers to review approved leave in the employee leave calendar.
- HRIS users should avoid allowing employees to edit personal details, super funds, and satisfaction surveys, as changes can update payroll data. Where both systems are used, HR should remain the source of truth to maintain consistency.

Employees can:
- Not access timesheets — Employees cannot view timesheets.
- View their own timesheets — Employees can view but cannot edit timesheets.
- Only edit their own timesheets — Employees can edit timesheets created via their employee portal and/or EH Work, but cannot edit timesheets created via the kiosk, Clock Me In, or clock in/out in EH Work.
- Only edit timesheets created via the kiosk — Employees can edit timesheets created via the Kiosk or Clock Me In, but cannot create timesheets via the employee portal or EH Work.
- Create and edit all timesheets — Employees can create and edit all timesheets, regardless of where they were generated.
- Show Pay Days in Employee Calendar
- Employees can clock in/out using EH Work
Tip
- To clock in/out through EH Work, an employee must have permission to use timesheets. This is configured in the employee profile.
- If clock in/out is enabled, additional settings will appear:
- Capture employee photo when clocking in/out — Employees must take a photo when starting/finishing work or breaks. Clock in/out cannot be completed without the photo.
- Allow employees to select a higher classification when clocking in — Only relevant where Employment Agreements are used. Allows employees to select a higher classification when they are performing higher duties.
- Allow employees to apply rostered start/finish times when clocking in/out — Lets employees use rostered times rather than actual clocked times.
- Send employee reminder notifications — Sends a push notification if the employee has not clocked out “x” minutes after their scheduled end time.
- Send employees a notification when their personal, bank account, or superannuation details are updated — Sends an email notification with a link to the portal to view the changes.
Granting Employee Access
- Log on to your Employment Hero Payroll platform.
- Navigate to Business > Payroll Settings > Business Management > Employee Portal Settings > Access.
- Select the employees to enable.
- Select Grant Access.
